We have an exciting opportunity for a full-time Executive Assistant to the President to join our Corporate Services team in Langley, BC.
Reporting to the President, you will be responsible for managing the Pattison Food Group’s President and executives’ calendars, scheduling and preparing meetings, managing correspondence, preparing presentations, and coordinating corporate travel. In this role, you will also lead and supervise the executive assistant team to enhance support to our executives and senior leaders and will work closely with the corporate communications team.
You will be responsible for:

Managing executives’ calendars by prioritizing inquiries and requests and providing recommendations to ensure smooth day-to day engagements.

Scheduling meetings, sending meeting invites, booking meeting rooms, and preparing pertinent information as required such as agendas, reports, presentation materials and meeting minutes.

Managing and organizing all correspondence, including emails and letters, ensuring timely and professional responses and forwarding to relevant team members or departments when necessary.

Coordinating and managing all aspects of executive travel, including flight bookings, accommodations, and transportation, ensuring seamless and efficient travel experiences.

Taking notes in senior leadership meetings; documenting action items and ensuring follow up.

Preparing and reconciling expense reports for executives, ensuring timely submission and accuracy of all receipts and expenditures.

Designing and developing engaging PowerPoint presentations and reports for executives, including formatting, graphics, charts, and data, ensuring content is accurate and well-organized.

Leading and supervising the executive assistant team, providing guidance, support, and performance feedback to ensure team success.

Working closely with the corporate communications team, supporting the creation of executive speeches and messages.

Supporting additional administrative tasks and special projects as required.
You have:

3 or more years of experience in a senior administrative role, preferably within a large corporate environment.

A post-secondary education relevant to executive administration or equivalent is an asset.

Intermediate to advanced proficiency with the Microsoft Office Suite, with experience in Microsoft 365 is preferred.

Exceptional writing, editing and presentation skills, with the ability to competently draft letters and create impactful PowerPoint presentations.

Experience in composing speeches and executive messaging.

Experience or knowledge within the grocery industry is an asset.

A valid driver’s licence and vehicle with the ability to travel on an as needed basis.

Compensation Details:
$65,120.00 - $81,400.00
The compensation offered for this position will take into consideration location, education, skills, experience, and other factors.
