Job Summary:

The Executive Assistant (EA) provides comprehensive, high-level strategic and administrative support to the President of the University. Operating with an exceptional degree of judgment, discretion, and autonomy, the EA manages the President’s daily operations, complex scheduling, and travel logistics.
As a trusted gatekeeper and liaison, the EA works in lockstep with the Chief of Staff to advance the University’s mission, ensure the President is thoroughly prepared for all engagements, and uphold the distinct values of a Jesuit, Catholic institution.

Major Duties and Responsibilities:

High-Judgment Calendar & Relationship Management

  • Strategic Scheduling: Oversee and optimize the President’s complex calendar, evaluating the importance and urgency of meeting requests with a deep understanding of institutional priorities. Requires high-level of detail and coordination when managing the President’s calendar.

  • Gatekeeping: Serve as the primary, highly professional point of contact for the Office of the President, interacting fluidly with Trustees, donors, bishops, faculty, students, and community leaders.

  • Boundaries & Balance: Tactfully decline or redirect meeting requests that do not require the President’s direct involvement, protecting the President's time for strategic thinking and personal well-being.

Briefing, Preparation, & Executive Readiness

  • Presidential Briefings: Partner with the Chief of Staff to compile and organize daily briefing materials, agendas, background research, and talking points well ahead of meetings and events.

  • Proactive Anticipation: Look weeks and months ahead to anticipate the President's needs, ensuring no detail is overlooked regarding dress codes, dietary restrictions, or cultural protocols.

  • Follow-Through: Track action items originating from the President's meetings, ensuring relevant stakeholders are informed and deadlines are met.

Confidentiality & Communication Protocol

  • Discretion: Handle highly sensitive, confidential, and political information regarding university governance, personnel, legal matters, and donor relations with absolute integrity.

  • Executive Correspondence: Draft, review, and edit sophisticated correspondence, emails, meeting notes and internal memos on behalf of the President, ensuring accuracy, polish, and consistency with the University's voice and Jesuit identity. Exercise a high level of attention to detail in proofreading, fact-checking, and formatting all materials prior to the President's review or distribution. Manage correspondence tracking and follow-up to ensure timely responses. Exercise sound judgment and discretion in handling confidential and sensitive communications on the President's behalf.

End-to-End Travel & Logistics Support

  • Complex Travel Planning: Coordinate seamless, multi-city domestic and international travel itineraries, including flights, lodging, ground transportation, and speaking engagements.

  • Expense Management: Manage the President’s travel expenses, corporate credit card reconciliation, and reimbursement requests accurately and in compliance with University policy.

Chief of Staff Collaboration & Team Synergy

  • The Office Trifecta: Maintain a seamless, communicative triad between the President, Chief of Staff, and the EA to ensure unified messaging and operations.

  • Special Projects: Collaborate with the Chief of Staff on the execution of Board of Trustees meetings, high-profile campus events, and presidential committees.

Qualifications & Core Competencies

Jesuit Mission Alignment: A deep respect for, and willingness to learn and articulate, the tenets of Jesuit education—including cura personalis (care for the whole person), social justice, and finding God in all things.

  • Education: Bachelor's degree required; advanced degree preferred.

  • Experience: Minimum of 7–10 years of experience supporting C-suite executives, preferably within higher education, non-profits, or highly matrixed organizations.

  • Exempt-Level Autonomy: Proven ability to work independently under pressure, manage competing priorities seamlessly, and make executive-level logistical decisions without supervision.

  • Emotional Intelligence: Superior interpersonal skills with a calm, poised, and welcoming demeanor, especially during times of institutional stress or crisis.

  • Technical Savvy: Advanced proficiency in Microsoft Office 365 (Outlook, Teams, Word, Excel), project management tools, and institutional databases.

  • Governance Support: Prior experience supporting a Board of Trustees or similar governing body strongly preferred.

Work Environment & Expectations

  • Flexibility: This is an exempt role that requires flexibility to work occasional evenings or weekends to support high-profile campus events, commencements, or Board meetings.

  • Presence: A strong on-campus, in-person presence is required to effectively manage the rhythm of the Office of the President.

  • Travel: Occasional domestic and international travel accompanying the President may be required.

  • Physical Requirements: Ability to sit or stand for extended periods, travel independently, and occasionally lift or transport materials (e.g., event or meeting supplies) up to 20 lbs.

Pay Rate:

$70,000 to $75,000/annually, commensurate with qualifications
