We are looking for an Executive Assistant to support the VP of Platform Engineering and to work as a business partner to the wider leadership team. This is not a purely administrative role. Alongside the calendar and travel work that any executive support role involves, you will help improve how the organisation runs: the business processes it uses, the way information moves between teams, and the way project updates are collected and shared.
Because the team is growing quickly, a meaningful part of the role supports hiring. You will coordinate interview loops, keep candidates moving through the process and well informed while they do, and work with recruiting to keep the pipeline visible to the leadership team.
This is a hands on role during a period of fast growth. Priorities move, the work is not always defined in advance, and everyone picks up what needs doing. You will be given a high degree of autonomy and trusted to use it. The people who do well here are driven and self directed, comfortable when things are ambiguous, and able to work out what matters most on a given day without being told.

Job requirements
- 3 or more years supporting senior leaders, as an executive assistant, business support partner, or in a similar role.
- Experience managing complex calendars across time zones, and deciding what takes precedence when two things cannot both happen.
- The ability to operate with a high degree of ambiguity. You are given an outcome and the latitude to work out how to reach it.
- Strong written and verbal communication, and the judgement to know what to escalate, what to handle yourself, and what to leave alone.
- Discretion and integrity in handling confidential information.
- Organisation and follow through. You track what was committed to and close it out without needing to be reminded.
- Proficiency with everyday business tools, including calendar and email, documents and spreadsheets, and messaging and collaboration platforms.
- A preference for high trust, high autonomy environments over ones with close direction.
- Experience supporting an engineering or other technical organisation.
- Experience coordinating recruiting activity, particularly interview scheduling at volume.
- Experience improving or designing a process, rather than only running one that already existed.
- Experience at a company that was growing quickly, where the role changed as the company did.
Job responsibilities
- Manage a complex calendar for the VP of Platform Engineering, and support scheduling across the leadership team, making judgement calls when priorities compete.
- Work as a business partner to the leadership team, improving how the organisation communicates, tracks its work, and reports progress.
- Streamline business processes, and build simple, repeatable ways of working where none exist yet.
- Collect and distribute project updates, so that leaders and their teams have a current picture without having to chase it.
- Support hiring: coordinate interview loops, keep candidates informed and moving, and work with recruiting on scheduling and pipeline visibility.
- Run the operating rhythm of the organisation, including leadership meetings and agendas, all hands sessions, offsites, and team events.
- Coordinate travel, and prepare and submit expense reporting.
- Track key deliverables and follow up on them, so that commitments made in meetings do not get lost afterwards.
- Act as a point of contact between the VP and their direct reports, and between Platform Engineering and the functions it works with.
- Handle confidential information with discretion, including hiring, personnel, and compensation matters.
- Take on projects as the team grows, which may include space planning, onboarding support, and documenting how things are done.

Compensation
- The expected base salary for this role USD$120,000 – 140,000/annum.
- Actual compensation will be determined based on factors such as experience, qualifications, and market data for the region.
- Total Compensation package may be inclusive of annual incentive bonus, equity (long-term incentive).
