Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support the Senior Vice President (SVP). This role requires exceptional multitasking skills, attention to detail, and the ability to manage a variety of responsibilities with professionalism and discretion. The Executive Assistant will be a key partner in ensuring the SVP’s productivity, efficiency, and seamless daily operations.

 

This position requires up to 25% travel.

Key Responsibilities:

  • Calendar Management: Efficiently manage the SVP’s complex schedule by coordinating meetings, appointments, and events, ensuring priorities are met and conflicts are minimized.
  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
  • Document Preparation: Create, edit, and review correspondence, presentations, and reports with a strong focus on accuracy and quality.
  • Stakeholder Communication: Serve as a liaison between the SVP and internal/external stakeholders, facilitating clear, timely communication and building strong relationships.
  • Confidentiality: Handle sensitive and confidential information with discretion, maintaining the highest level of trust and professionalism.
  • Expense Management: Prepare and reconcile expense reports promptly, ensuring compliance with company policies.
  • Event Planning and Support: Assist in the planning and execution of operations initiatives, events, and conferences, ensuring seamless coordination and delivery.
  • Administrative Support: Provide general administrative support, including managing ad hoc projects, maintaining office supplies, and ensuring a professional and welcoming office environment.
  • Office Readiness: Ensure common areas and meeting rooms are consistently “showroom ready” for visitors and meetings.
  • Additional Responsibilities: Take on other duties as needed to support the SVP’s goals and organizational objectives.

Qualifications and Skills:

  • Experience: 5+ years of experience as an Executive Assistant, preferably supporting senior executives in a fast-paced environment.
  • Education: Bachelor's degree in business administration, Communications, or related field preferred.
  • Organizational Skills: Exceptional ability to prioritize tasks, manage time effectively, and meet tight deadlines.
  • Communication: Strong verbal and written communication skills, with a professional demeanor.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with scheduling and expense management tools.
  • Discretion: Proven ability to handle confidential information with integrity and sound judgment.
  • Attention to Detail: Meticulous approach to reviewing documents, managing schedules, and coordinating logistics.
  • Flexibility: Adaptable to changing priorities and capable of handling multiple tasks simultaneously.
  • Interpersonal Skills: Strong relationship-building skills and the ability to work collaboratively with diverse teams.
  • Familiarity with Bitcoin is a strong plus
