Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Interactive leadership team and provide administrative and operational support across the department. This individual will be a key liaison between leadership and internal/external stakeholders, helping to ensure the smooth day-to-day function of the department. The ideal candidate is resourceful, flexible, and thrives in a fast-paced, creative environment.
Key Responsibilities:
- Provide high-level administrative support to the Interactive leadership team, including managing calendars and scheduling meetings.
- Serve as the point of contact for departmental communications, ensuring timely and professional responses.
- Prepare meeting agendas, take detailed notes, and track follow-ups for internal and external meetings.
- Coordinate department-wide meetings, events, and offsites, including logistics, catering, and light tech support.
- Support the planning and execution of department initiatives, team building activities, and cross-functional collaborations.
- Maintain organization of shared files, documents, and resources to ensure easy access and version control.
- Assist with onboarding new team members and contractors, ensuring smooth integration into the department.
- Manage all travel and expense coordination for senior leadership and the Engineering team, including bookings, itinerary management, expense reporting, and vendor communications.
- Support internship program operations by coordinating onboarding, assigning tasks, tracking progress, and ensuring consistent communication and documentation across teams.
- Handle ad hoc tasks and special projects as needed.
- Perform other duties as assigned.
Qualifications & Skills:
- 1–3 years of experience supporting senior executives or leadership teams; experience in the games industry is preferred.
- Exceptional organizational and time management skills; able to manage multiple tasks and priorities with professionalism and discretion.
- Strong written and verbal communication skills.
- Proficient in Google Workspace, Microsoft Office, Slack, and project/task management tools (e.g., Asana, Notion, or Trello).
- Comfortable handling confidential and sensitive information.
- Positive attitude, strong work ethic, and a collaborative spirit.
- Familiarity or passion for interactive media, digital storytelling, or immersive experiences a plus.
The typical base salary for this position ranges from $24.00-$27.00 hourly. Actual offers will be determined based on experience. Actual offers will be determined using local market data for the identified candidate’s geographic area and may vary from the stated range.
