Overview: Inovalon is seeking a highly qualified Executive Assistant to support members of our executive leadership team. The ideal professional will be responsible for handling telephone calls, maintaining multiple calendars and meeting coordination, creating presentations and meeting materials, making travel arrangements, reconciling expenses, and supporting Inovalon’s leaders as they create a footprint in the industry through hard work, high energy, and innovative thinking.

Duties and Responsibilities:
- Support multiple Executives by handling telephone calls, maintaining complex calendars with a high volume of meeting requests and meeting coordination and support, confidential document management of both electronic and hard copy records, communications, travel arrangements, and monthly expense reconciliation;
- Proactively review email communications and other requests within the business identifying and prioritizing actions requiring the Executive leader’s attention and or responses with highlighted timeframes and deliverables; as a delegate, may respond on behalf of the Executive within the prescribed parameters;
- Continually identify opportunities to streamline functional activities while enabling the Executive to focus on strategic and business initiatives rather than functional logistics;
- Anticipate needs and work ahead of Executives and their team to keep them on point;
- Create, format, review, and proofread project documents, including correspondence, memos, emails, presentations and spreadsheets for completeness and accuracy;
- Participate in project teams and committees and provide project support as needed;
- Organize and coordinate project meetings as requested and attends selected project meetings, collecting action items and distributing documents as directed by Executive;
- Provide additional support to Executives as needed including, but not limited to, the following:
- Arrange moderately complex domestic and international travel plans and create detailed itineraries;
- Prepare documents and materials for various meetings, including assisting with organizational reviews;
- Coordinate large scale meetings, events, and communication sessions;
- Collaborate with administrative team to ensure coordination of executive/administrative support.
- Comply with all security policies and procedures;
- Maintain compliance with Inovalon’s policies, procedures and mission statement;
- Adhere to all confidentiality and HIPAA requirements as outlined within Inovalon’s Operating Policies and Procedures in all ways and at all times with respect to any aspect of the data handled or services rendered in the undertaking of the position; and
- Fulfill those responsibilities and/or duties that may be reasonably provided by Inovalon for the purpose of achieving operational and financial success of the Employer.
Job Requirements:
- Minimum five (5) years’ progressive experience as an Administrative/Executive Assistant for C-Level Management or other Executive Leaders;
- Strong calendar management skills including the ability to schedule moderately complex executive meetings utilizing Microsoft Outlook and internal software;
- Strong organizational, time management, and written/oral communication skills;
- Robust computer skills and experience with Microsoft Office Suite;
- Experience participating in senior level meetings, taking notes and/or minutes, interpreting, drafting and distributing (pending approval) correspondence; and
- Ability to build and maintain internal and external business relationships.
Education:
- Associate degree and/or an equivalent combination of education and work experience.
Physical Demands and Work Environment:
- Sedentary work (i.e., sitting for long periods of time) exerting up to 35 pounds of force occasionally and/or negligible amount of force;
- Occasional need to lift, carry, push, pull or otherwise move objects and repetitive motions;
- Subject to inside environmental conditions; and
- Travel for this position will include less than 5% locally usually for training purposes.

In addition to the base compensation, this position may be eligible for performance-based incentives.
The actual base pay offered may vary depending on multiple factors including, but not limited to, job-related knowledge/skills, experience, business needs, geographical location, and internal equity. At Inovalon, it is not typical for an individual to be hired at or near the top end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.

Base Compensation Range
$30.34—$37.50 USD
