About the role 

The Executive Assistant II will be responsible for supporting their assigned Executive(s)/Leader(s). The role requires proactive management of day-to-day schedules in such a way that assigned executives are able to complete their obligations in an organized, efficient manner. The Executive Assistant II is a strong communicator who will build strong relationships both across the company and with key external stakeholders. This role requires strong attention to detail, deadline orientation, and comfort working under minimal direction to fulfill and anticipate workflows and needs. The Executive Assistant II will work in collaboration with Executive(s)/Leaders(s), the Chief of Staff, and the broader Executive Assistant team. 

Responsibilities

  • Manage Google Calendar for Executive(s)/Leader(s), coordinating internal and external meetings, exercising discretion in communicating times and evaluating needs. 
  • Coordinate the execution of team on-sites and other team engagement initiatives with thought partnership from assigned Executive(s)/Leader(s), including coordinating travel plans, catering and team dinners, as well as agendas and team building activities. 
  • Manage Google Mail inboxes for Executive(s)/Leader(s) and send pre-drafted communications on behalf of Executive(s)/Leader(s).
  • Attend meetings as needed to take clear notes and distribute pre- and post-meeting materials appropriately. 
  • Assist in the creation and distribution of agendas, presentations, and other materials for team and department meetings. 
  • Assist in the coordination and communication of project duties as requested. 
  • Book and manage assigned Executive(s)/Leader(s) travel.
  • Manage and submit Executive(s)’/Leader(s)’ expense reports in a timely manner. 
  • Perform other duties as assigned. 

Requirements:

  • 7+ years of experience as an Executive Assistant with experience supporting at least 2 C-Suite executives at a time, in large, fast paced companies
  • Excellent interpersonal skills with demonstrated ability to build trust quickly. 
  • Proficiency in Google Suite. 
  • Exceptional attention to detail. 
  • Demonstrated problem solving skills with a strong bias toward action.
  • Strong time management and prioritization skills. 
  • Extreme discretion with confidential information. 
  • Comfortable adapting to change and working in a fast-paced environment.
  • Strong written and verbal communication skills with an ability to tailor your message to different audiences.

Physical Demands

  • Work is performed 100% from home with no requirement to travel. This is a stationary position that requires the ability to operate standard office equipment and keyboards as well as to talk or hear by telephone. Sit or stand as needed.
