What You'll Do and Who We Are Looking For

We are excited to announce that we are hiring a temporary Executive Assistant for Academic and Career Pathways (ACP). The ACP Executive Assistant will play a vital role in supporting ACP executives, leaders, and employees. This position will provide complex, confidential support for ACP leadership, and manage executive communications, workflows, and strategic calendar planning. The ACP Executive Assistant will provide proactive event and meeting coordination, plus support operational and financial processes including budget preparation and document approvals. This position will be a key strategic partner for ACP project accountability, operations problem-solving, continuous process improvement, and cross-departmental collaboration.

This position reports directly to the Associate Vice President of ACP, and will also support the Assistant AVP of ACP and the Associate Dean of ACP.  This position will have a desk located at the Sylvania Campus, have some remote work opportunities, and will need to be able to travel among the PCC campuses and centers as needed.

Minimum Qualifications: To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).

  • Associate’s Degree in business administration or related field. Relevant experience may substitute for the degree requirement on a year-for-year basis.
  • One (1) year of progressively responsible administrative support experience.
Success Criteria: A successful candidate will demonstrate the ability to
  • Successfully execute multiple parallel projects in a complex organization by strategically using office and project management technologies, managing calendars, prioritizing tasks, anticipating logistical needs, and tracking accountability across the division.
  • Maintain strict confidentiality and professional boundaries, while also being a collaborative team player and welcoming ambassador.
  • Craft clear, concise, and professional communications on behalf of executive leadership and the division.
  • Apply sound ethical judgment when solving problems and reviewing approvals.
  • Evaluate and improve administrative workflows, followed by clear change documentation, training, and communications.

How We Determine Initial Salary Placement

Initial Salary Placement will be between Step 1 ($63,566) and Step 2 ($70,718) based on related experience, per PCC's collective bargaining agreement. Placement at a higher step may be possible based upon additional experience and internal equity.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), you may view Portland Community College’s (PCC) most recent Annual Security Report (ASR) on the Department of Public Safety website. The ASR contains current security and safety-related policy disclosure statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information and resources, and drug and alcohol prevention programming. The ASR also contains crime statistics for Clery Act crimes which occurred on PCC properties for the last three calendar years. Paper copies of the ASR are available upon request at all Department of Public Safety offices.

Skills Required
