Job Description
The Executive Assistant to the Head of Global Communications provides advanced administrative and secretarial services to the organization. This role supports high-level executives by managing schedules, preparing documents, and facilitating communication, contributing to the smooth operation of the executive office.
Job Responsibilities
- Provide high-level administrative support to the Head of Global Communications, including calendar management, travel and expense reporting.
- Manage and organize the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
- Handle confidential information with utmost discretion and professionalism.
- Collect, review, analyze, interpret, enter and format accurate data into intranet, spreadsheets, databases and other electronic tools.
- Gathers input for budgets; tracks and updates budget forecasts; prepares reports for the department summarizing budget status.
- Prepare and edit correspondence, reports and presentations.
- Coordinate and manage communication between the executive and internal/external stakeholders.
- Assist in the preparation of events, town-halls, presentations within Global Communications on behalf of the leader.
- Facilitate smooth and efficient communication within the team and across different departments.
Required Skills and Qualifications
- Proven experience as an executive assistant or other relevant administrative support experience.
- Excellent time management skills and ability to multi-task and prioritize work.
- Strong organizational and planning skills in a fast-paced environment.
- Proficiency in MS Office (MS Excel and MS Outlook, in particular).
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Bachelor's degree; additional qualifications as an Executive Assistant or similar role is a plus.
Preferred Qualifications
- Experience in corporate affairs or communications.
- Interest in global health and or technology.

U.S. Hourly Wage Range:
$40.38 - $63.46
The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
