In this exciting role, the Executive Assistant will provide administrative support for senior executives on the team, as well as partner with the team on production related responsibilities.
Regular, on-site attendance at the workplace for a minimum of four (4) days per week is an essential function of the position. The selected candidate must be able to reliably meet this requirement.
A SNAPSHOT OF YOUR RESPONSIBILITIES
Manage the SVP and VP’s schedules and daily calendars, ensuring key appointments and production milestones are prioritized
Manage facilities and office-related needs as directed
Organize and coordinate meetings, including scheduling and sending reminders
Record and track minutes for executive meetings
Maintain comprehensive and accurate records, ensuring all production and departmental documents are filed correctly
Maintain and update departmental master production, development, and post-production calendars for all projects in production
Assist in the creation and maintenance of production documents and files, including wrap binders and show files
Provide budgeting support for development projects, tracking expenses and assisting with cost reporting
Help coordinate development run-throughs and provide onsite production support for Los Angeles-based projects as needed
Sort, track, file, and maintain production and project materials, including confidential information and vital documents
Assist with asset and delivery management, including uploading and filing production content to the BOX system and SeeView
Support the onboarding of new personnel, ensuring necessary resources such as seating, badges, parking, and IT access are provided
Oversee storage and production asset lists to ensure all items are tracked and accounted for
Provide additional administrative support as needed, including travel arrangements and handling phone calls
Maintain internal studio database, tracking key dates and data for all projects in production from greenlight through final delivery.
WHAT YOU WILL NEED
Bachelor's Degree in Film/Television, Business Administration, or a related field
1+ years of experience as a Production Coordinator or Executive Assistant
Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines
Strong verbal and written communication skills, with a professional and personable demeanor
Strong attention to detail and ability to work independently in a fast-paced environment
Strong interest in television production and a growth-oriented mindset
Proficiency in Microsoft Office Suite, Google Docs/Sheets/Slides, and PowerPoint
Ability to read, interpret, and summarize budgets and financial reports
Ability to manage confidential information and prioritize tasks effectively
Proactive, self-starting problem solver who can anticipate needs and take initiative

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $23.50-26.00 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents.
