About the Role: 

As an Executive Assistant supporting our Federal government client, you will be trusted to provide high-level, executive-caliber administrative and coordination support to the Project Manager and project team. This individual is the operational backbone of day-to-day contract administration — managing scheduling, correspondence, meeting logistics, and documentation — while serving as a professional and responsive point of contact for Federal staff, grant recipients, subcontractors, and other stakeholders. The role requires sound judgment, discretion in handling sensitive information, and the ability to operate effectively in a fast-paced Federal grants environment supporting underserved, rural, Tribal, and high-risk communities. 

Key Responsibilities include (but are not limited to):  

  • Provide executive-level administrative support to the Project Manager, Senior Technical Advisors, and project team, including calendar management, correspondence drafting/review, and travel coordination. 

  • Coordinate and schedule project meetings, briefings, training events, and grant recipient convenings; prepare agendas, minutes, and follow-up action-item trackers. 

  • Prepare, format, proofread, and quality-check briefing materials, reports, presentations, and correspondence for accuracy, completeness, and compliance with Federal client standards, including Section 508 accessibility requirements. 

  • Support grant administration activities, including tracking recipient documentation, deliverable due dates, and correspondence logs. 

  • Assist in monitoring recipient performance activities by maintaining files, trackers, and status reports used by the Project Manager and Program Specialist(s). 

  • Serve as a liaison and coordination point among Federal staff (COR/Contracting Officer), grant recipients, subcontractors, and other contractor personnel; route inquiries appropriately and track resolution. 

  • Support outreach and coordination with recipients in low-income, rural, Tribal, and other historically underserved communities, including logistics for technical assistance activities. 

  • Maintain organized electronic and hard-copy filing systems consistent with Federal records management and data-handling requirements. 

  • Assist with the preparation, formatting, and submission of required contract deliverables and administrative reports (e.g., monthly progress reports, inventory/roster updates, training certifications). 

  • Maintain strict confidentiality of procurement-sensitive, proprietary, and Personally Identifiable Information (PII) encountered in the performance of duties. 

  • Perform other administrative and project support duties as assigned to ensure successful, integrated execution of all task areas.

Location: 

You will work a hybrid schedule, with on-site presence at the client facilities in the Rockville, MD area as required. 

Required Experience/Skills:  

  • Bachelor's degree. 

  • Minimum of 4-6 years of experience providing executive or senior-level administrative support, preferably within a Federal contracting, grants, or public-sector environment. 

  • Prior experience supporting a Federal discretionary/demonstration grant program, such as Discretionary and Demonstration Programs (DCDDP), Community Economic Development (CED), Rural Community Development (RCD), Affordable Housing and Supportive Services Demonstration (AHSSD), Diaper Distribution Demonstration and Research Pilot (DDDRP), or Medical-Legal Partnerships Plus (MLP+). 

  • Demonstrated experience coordinating meetings/events, managing correspondence, and preparing polished written materials for executive or Federal audiences. 

  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms. 

  • Excellent written and verbal communication skills, attention to detail, and ability to manage competing priorities under deadline. 

  • US citizenship and the ability to obtain and maintain a Moderate Risk Public Trust (MRPT) determination. 

Preferred Experience/Skills: 

  • Familiarity with ACF/OCS program operations, Federal grants management, or Section 508 accessibility standards. 

  • Experience supporting outreach to rural, Tribal, or other underserved communities.

Salary: 

Approximate Salary Estimate: $75,000.00 - $115,000.00 annually
