About the role
Executive Assistant (The Exchange TRX)
We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and executive support in a fast‑paced corporate environment. In this role, you will support 4 members of the Leadership Team ensuring seamless coordination of their day‑to‑day operations and strategic activities.
Executive Support
Manage calendars, schedule meetings, and coordinate appointments.
Prepare reports, presentations, and correspondence for internal and external stakeholders.
Handle confidential information with discretion.
Centre Operations & Office Management
Oversee office supplies, equipment maintenance, and facility management.
Ensure compliance with health, safety, and security standards within the centre.
Act as the main point of contact for tenants, vendors, and service providers.
Contractor & Vendor Management
Coordinate contractor onboarding, compliance checks, and documentation.
Monitor service contracts, timelines, and performance standards.
Liaise with vendors for maintenance, repairs, and operational requirements.
Project Coordination
Assist in planning and execution of centre-related projects and initiatives.
Track project timelines, budgets, and deliverables.
Prepare project documentation and reports for management review.
Administrative & Financial Support
Process purchase orders, invoices, and expense claims accurately.
Maintain records of contracts, agreements, and operational documents.
Assist in travel management for CMO & FMO team, ensure compliance with company travel policy
Support budget tracking and cost control measures.
About you
Diploma or Bachelor’s degree in Business Administration or related field.
Minimum 2–3 years of experience in administrative or executive support roles.
Strong organizational and multitasking skills with attention to detail.
Proficiency in MS Office Suite and familiarity with ERP systems.
Excellent communication and interpersonal skills.
Ability to work independently and manage multiple priorities.
