Primary Purpose:
The Senior Executive Assistant provides a wide range of administrative support to the CEO and other executive team members as needed. This position must be able to work independently with little or no supervision. This position requires interaction with staff, members, and vendors (at all levels) in a fast-paced environment, sometimes under pressure, remaining organized, flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. The role also demands expert communication and problem-solving skills as well as strong decision-making ability and attention to detail.
Essential Responsibilities:
- Develop, create, revise and edit various business forms, applications, templates/documents, presentations, brochures, mailings, etc.
- Type, edit and format correspondence, reports, and other documents
- Assist with the executive’s off-site meeting preparations and execution
- Maintain the phone system and asset inventory
- Maintain and order office supplies
- Maintain electronic file storage
- Prepare routine correspondence, reports and forms in support of the CEO and executive team
- Assist executives with arrangements for travel, conferences, off-site meetings and other events
- Compile and distribute reports and other documents, file correspondence and other records
- Provide other related administrative support of a sensitive and confidential nature
- Support and conduct complex Internet searches for various projects
- Assist with marketing & promotional programs and special events as requested
- Adheres specifically to all Bank policies and procedures, Federal and State regulations and laws.
- Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
- Other duties as assigned.
Minimum Required Skills & Competencies:
- Must be a high school graduate or equivalent. Extensive administrative training is necessary.
- A minimum of ten years’ secretarial or executive assistant experience is required, preferably in a financial institution.
- Must be experienced in communicating with customers and top-level executives and familiar with making arrangements for meetings and activities.
- Extensive administrative training and knowledge are required.
- Must have knowledge of administrative protocol, customer relations and typical administrative tasks.
- Strong proficiency in Microsoft Office ® applications to include Word, Excel, Outlook, PowerPoint, Office 365 is required.
- Proficient typing, dictation, calculator, and word processing skills are required.
- Well-refined human relations skills, particularly with management and customers, are important.
- Must have the ability to work under pressure, meet deadlines, and keep information confidential.
- Organization and efficiency are an essential aspect of this position.
Desired Skills & Competencies:
- Associate’s degree preferred.
- Knowledge of banking and the hierarchy of a financial institution would be helpful.
- Hands-on banking experience is preferred. Familiarity with scheduling meetings, business trips and bank events would be helpful.
- Proficiency with Windows-based computer systems and various financial-related software is preferred
Physical Requirements:
- Express or exchange ideas by means of the spoken word via email and verbally.
- Exert up to 10 pounds of force occasionally, use your arms and legs, and sit most of the time.
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
- Not substantially exposed to adverse environmental conditions.
