About the opportunity

Located at the Westmead Applied Research Centre within the University of Sydney we are seeking an Executive Assistant to join a dynamic team that are front runners in clinical and digital health innovation. The Executive Assistant will provide high-level executive and administrative support to the Director of the Westmead Applied Research Centre, Professor Clara Chow. The role involves managing day-to-day operations, coordinating communications and documentation, and ensuring efficient and professional support to enable the Director to meet strategic and operational priorities.

Your key responsibilities will be to:

  • provide high-level executive support to the director, managing day-to-day office operations and administrative activities

  • manage incoming enquiries and correspondence, determine priorities, gather information, and ensure timely and professional responses

  • draft and review correspondence, prepare reports and briefing notes, and coordinate meeting documentation and logistics

  • manage complex diary scheduling and travel arrangements, including financial processing in line with university policies

  • build and maintain effective relationships with internal and external stakeholders, ensuring professional and confidential communication

  • facilitate the flow of information to support the director in making informed decisions

  • undertake other duties appropriate within the classification level as required.

About you

  • bachelor’s degree in a relevant field or an equivalent combination of training and experience

  • two to four years executive assistant or administrative experience, including diary management

  • experience managing purchasing, invoicing, and financial administration processes

  • advanced computer skills including microsoft office and strong organisational and filing capabilities

  • excellent interpersonal, communication, and stakeholder engagement skills

  • strong analytical, problem solving, and time management skills with the ability to prioritise and meet deadlines.
