As an Executive Assistant, you will support Vidmob’s Chief Financial Officer (CFO) and Chief Technology and Product Officer (CTPO) with day-to-day administrative tasks, schedule management, and other projects. A positive can-do attitude, the ability to work cross-functionally, and resourcefulness are crucial, as is a high level of professional integrity and confidentiality. Responsibilities:

Provide seamless calendar management for Vidmob’s CFO & CTPO. Optimize their schedules to create more time for strategic initiatives by efficiently managing conflicting priorities and minimizing time conflicts

Proactively support a wide variety of professional administrative tasks including, but not limited to, travel arrangements, event planning and coordination, expense reports, preparing itineraries and agendas, and compiling documents and presentations for meetings

Act as a liaison between the CFO & CTPO and internal/external stakeholders, handling correspondence, emails, and phone calls with professionalism and confidentiality

Coordinate the logistics of executive meetings, conferences, and departmental events, including arranging travel, preparing agendas, arranging catering, etc.

Monitor deadlines and follow up on action items, ensuring timely completion of tasks and facilitating effective decision-making

Plan, execute, and oversee Finance & Tech team group events and team-building activities
Qualifications:

3+ years of professional experience as an Executive Assistant, or similar position

Experience supporting a CTO, CPO or CTPO of a fast-paced company, strongly preferred

Experience with executive-level calendar management, including working across multiple time zones

A high level of integrity, discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company are critical

Extensive experience using office software and administrative tools such as Google Suite and Slack, working within a MacBook environment

You’re resourceful and take ownership of tasks end-to-end. You rarely get stuck; if you do, you figure out how to get unstuck. You give and take feedback well and prefer transparent and honest communication

Strong attention to detail, ensuring that all communications, deliverables, and projects are accurate, professional, and audience-appropriate

Exceptional problem-solving skills, and the ability to maintain composure and switch tasks efficiently in a rapidly changing environment, see the “big picture,” and be proactive to prevent problems/conflict
This is a hybrid position, in office Tuesday-Thursday or full time in office while CFO & CTPO are in NYC.

Compensation Range: $75K - $90K
