Your Key Responsibilities:
Office Management: Assist the team with daily business activities, including correspondence, meetings, workshops, events, travel arrangements, and training courses. Manage incoming mail, especially during colleagues’ absences.
Meeting Coordination: Independently organize appointments and manage time schedules, ensuring efficient use of time and resources. Set priorities and proactively resolve scheduling conflicts, following up with invitees as needed to avoid unnecessary date blockages.
Information and Knowledge Management: Prepare routine reports, overviews, and statistics by gathering and consolidating fragmented data to support decision-making and ensure data accuracy.
Controlling/Coordination: Oversee cost center and invoice control for general department expenses, ensuring compliance with internal procedures and budget constraints.
Expenses Claim Control: Manage and verify all expense claims for the Chief Digital Information Officer and direct reports, ensuring accuracy and adherence to company policy.
Ariba Ordering: Independently process orders through Ariba, with approval authority for orders up to CHF 5,000.
Key performance indicators:
Timeliness and accuracy of work delivered
Satisfaction levels of supervisor and department stakeholders
Efficient and compliant handling of expense claims and invoices
Positive feedback from colleagues and event participants
What you’ll bring to the role:
Fluency in English and Czech language, more then one language required (German, French preferred).
Strong administrative skills and relevant professional experience in a similar role.
Diligent, efficient and reliable in independent and timely execution of daily activities.
Strong collaboration skills, working with international colleagues to organize meetings and events.
Demonstrates flexibility and reliability, accountability and ownership
Communicative, helpful, and patient with colleagues
