About the job

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the MD ‘s office. The ideal candidate should possess exceptional communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The Executive Assistant/Secretary will play a pivotal role in maintaining smooth operations and facilitating efficient communication within the organization.

Responsibilities

· Provide administrative support to the Exec Dir & MD, including managing calendars, scheduling appointments, and arranging meetings.

· Coordinate travel arrangements, including flight bookings, hotel accommodations, transportation arrangements and process expense reports.

· Prepare and edit correspondence, presentations, and reports as required.

· Act as the primary point of contact for internal and external stakeholders, including visitors.

·  Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents.

· Assist in preparing agendas and taking minutes during meetings, as well as follow-up on action items.

· Handle confidential information with discretion and always maintain confidentiality.

·  Assist in organizing company events, conferences, and seminars, including logistics, catering, and materials preparation.

·  Collaborate with other administrative staff to ensure seamless operations and support across departments.

·  Support the admin  manager  in keeping accurate stock of office supplies and placing timely orders whenever needed.
·  Co-ordination with manager and  procurement team for purchase requests.
·  Support the staffing team when required for interview scheduling and the administration team in office administration related activities.

Requirements

· Proven experience as an Executive Assistant, Secretary, or similar role, preferably supporting senior executives.

· Excellent in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

· Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.

· Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels.

· High degree of discretion and confidentiality, with the ability to handle sensitive information appropriately.

· Detail-oriented with a commitment to accuracy in all tasks.

· Ability to work independently with minimal supervision and as part of a team.

·Flexibility and adaptability to changing priorities and deadlines.

Qualification & Experience

·  Bachelor’s degree in business administration, Secretarial studies, or a related field is preferred.

· 10 + years of relevant work experience

Note: Domestic relocation within India will be provided as per local company policies.

Onsite: Employees who are working in Onsite roles will work primarily onsite. This includes all production and maintenance employees, as they are essential to the development of our products.

Hybrid: Employees who are working in Hybrid roles will work regularly both onsite and offsite. Ratio of time working onsite will be determined in partnership with your leader.

Remote: Employees who are working in Remote roles will work primarily offsite (from home). If you live within a reasonable commute of an RTX site with other colleagues you interact with, your manager will discuss whether there is a degree of onsite presence associated with this role.

Candidates will learn more about role type and current site status throughout the recruiting process. For onsite and hybrid roles, commuting to and from the assigned site is the employee’s personal responsibility.

AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience.
