STATUS: Full-Time; Exempt 

 

Your role as Executive Assistant to the CEO:  

You will be primarily responsible for supporting the CEO with all administrative support duties. This position requires a strong ability to multitask as well as communicate with internal and external relationships for the CEO.   

 

All the responsibilities we will trust you with: 

  • Manages the day-to-day of the Executive Office Associate, including being responsible for all task allocation, time keeping, employee relations, and general oversight of the front desk reception function.  

  • Manages all administrative support duties for the CEO and Ownership, which involves using proactive independent judgment, considerable discretion, initiative and tact. Duties include those that may be sensitive in nature with high-level contacts within the Padres Organization, Major League Baseball, elected officials and the general public 

  • Provides administrative support, including writing and speaking for the CEO, that requires excellent knowledge of grammar, punctuation, spelling and computer skills 

  • Serves as a facilitator and initial point of contact for Ownership and the CEO and all CEO-related projects  

  • Screens and prioritizes incoming calls, mail and faxes. Receives and responds to phone calls and provides information as needed. Greets and assists visitors to the CEO’s office including providing business hospitality 

  • Composes correspondence and other communication including e-mails, letters and memos; creates slide presentations at the direction of the CEO 

  • Interacts with members of the Padres organization on a daily basis with regard to dealings with the CEO 

  • Maintains schedule and coordinates business, community, and other events and appointments for the CEO, including charities, boards and committees 

  • Makes travel arrangements that include airline, hotel, and ground transportation and prepares itineraries for the CEO 

  • Arranges travel and accommodations for out-of-town VIP visitors.  

  • Hosts guests of Ownership and the CEO in the office, during baseball games and other events as needed. 

  • Manages all CEO and Ownership gifting programs and requests 

  • Organizes and maintains office filing systems for the CEO 

  • Attends meetings as directed by the CEO, taking and transcribing minutes as required.  

  • Participates in the planning of special events and hospitality 

  • Arranges for external facilities as necessary for meetings on behalf of the CEO 

  • Assumes any other duties and responsibilities as assigned 

 

Your areas of knowledge and expertise that matter most:  

  • Proficient computer skills including experience with MS Office products such as Word, Excel, Outlook, etc., and general knowledge of AI and basic office equipment including copier, laser printer, telephone, and computer 

  • Demonstrated ability to create memos, professional correspondence, spreadsheets, charts, presentation slides, agendas and manage databases 

  • Possess strong communication skills, both written and verbal, and effectively work well with others in a collaborative, positive, and respectful manner 

  • Exceptional time management and organizational skills with capacity to multi-task and handle high volumes of detailed work, and manage projects on strict deadlines  

  • Maintain professional demeanor with a high degree of discretion, confidentiality, integrity, and accountability. Demonstrated ability to interact with public officials, community officials, public figures, and other executives  

  • Maintain consistent, punctual, and reliable attendance 

 

You will be required to meet the following: 

  • Must be at least 18 years of age by the start of employment  

  • Minimum of two (2) years of schooling equivalent to an A.A. degree in Business, Sports Management, or related field 

  • Minimum of seven (7) years’ relevant office experience in an administrative capacity, with at least five (5) years’ previous experience working directly for a high-level executive. Experience working for the CEO, Chairman, or top executive of an organization is strongly preferred  

  • Fluently bilingual in English/Spanish is strongly preferred 

  • Able to travel and work flexible hours including evenings, weekends, holidays and extended hours as needed on a regular basis 

  • Strong community and industry contacts a plus 

  • Minimum physical requirements: able to travel to and gain access to various areas of the ballpark for prolonged periods of time during games and events; able to lift and transport up to 25 pounds 

  • As a condition of employment, you must successfully complete all post-offer, pre-employment requirements, including but not limited to a background check  

 

Salary and additional compensation: 

Per the California pay transparency law, the base salary range for this full-time position is $110,000 to $130,000 per year plus potential bonus opportunity.  As a candidate for this position, your salary and related elements of compensation will be contingent upon your work experience, education, job-related skills and any other factors the San Diego Padres considers relevant to the hiring decision for this position.
