Experienced in the role of an Executive Assistant needed, with years of supporting C-Suite Executives. This position will support Chief Executive for Advocate Health at The Pearl Innovation Quarter in Charlotte, NC. While it is a hybrid position it is preferred the person is located in the Greater Charlotte area.

This role provides, initiates, and prioritizes a variety of complex, diversified, confidential, and comprehensive administrative support requiring a broad knowledge of the enterprise's policies and practices. Communicates with highly visible customers and leadership throughout the organization. Requires the ability to act as an extension of the executive, thinking and planning, to manage his/her time in the most effective and efficient manner. Responsible for complex calendar management, travel and meeting/event coordination and project support.

Experience Required:

Typically requires 5 years of experience in executive-level administrative support.

  • Demonstrated leadership and diplomacy skills. Ability to prioritize office workflow and make effective administrative decisions to increase efficiency, accuracy, and productivity.

  • Ability to effectively manage time and priorities.

  • Demonstrated ability to maintain a high degree of confidentiality and discretion.

  • Ability to take initiative to develop correspondence as appropriate, and independently problem solve issues.

  • Demonstrated ability to tactfully and effectively communicate (written and verbal) with a variety of individuals and highly visible customers/leadership.

  • Advanced proficiency in the use of the Microsoft Office (Excel, PowerPoint and Word) or similar products.

  • Demonstrated ability to create and compile complex documents, reports, graphs/charts, and presentations. Ability to manage data systematically.

  • Demonstrates organizational ability, and attention to detail and accuracy.

  • Ability to effectively present information in one-on-one and small group situations.

Major Responsibilities:

  • Provides and/or oversees executive level administrative support to a Chief Executive reporting to the Advocate Health Chief Executive Officer, which includes scheduling for events, travel, and meetings; coordinates event logistics such as site selection, agenda/document development, audio-visual arrangements; develops complex documents and correspondence independently or in consultation with the Chief Executive; greets high-level visitors representing the Chief Executive; and compiles supportive graphics, reports and statistical data.

  • Acts as a strategic liaison for key organizational initiatives, represents the Chief Executive at various levels and committees, and on administrative and operational questions/issues. Determines and initiates communications with key internal and external leaders related to operational, strategic, and substantive matters. Resolves problems and prioritizes needs which require an in-depth knowledge of policies and procedures.

  • Manages a wide variety of projects through planning, implementation, and evaluation. Oversees the work of contributors. Prepares periodic analyses and reports reflecting progress and trends. Identifies opportunities for improvement and facilitates implementation as appropriate.

  • May present administrative materials, reports, and information.

  • Prepares special reports; performs necessary research and compiles, analyzes, and summarizes information from a variety of sources.

  • Assists in administration of departmental budget.

  • Composes correspondence and may sign on behalf of executive as appropriate.

Education Required:

Minimum of High School Diploma or GED.

    Physical Requirements and Working Conditions:

    • Position requires travel, may be exposed to road and weather hazards.

    • Must have ability to occasionally lift up to 20 lbs.

    • Exposed to a normal office environment.

    • Operates all equipment necessary to perform the job.
