This is an exciting opportunity to work in a dynamic, fast-paced environment and work closely with Chairman’s Office team members and partners. This position provides administrative support for the Chairman & CEO and is an integral part of the team working under the direction of the Senior Executive Assistant. The ideal candidate is experienced in handling a wide range of administrative related tasks and is eager to learn, able to operate in fast-paced environment, and willing to work a minimum of 4 days a week in the New York office.
Responsibilities- Assist the Senior Executive Assistant with day-to-day activities supporting Chairman & CEO
- Provide back-up calendar and travel management for Chairman & CEO as well as primary calendar and travel management for Vice President Assistant (VPA)
- Ensure timely preparation and processing of expense reports and review expenses submitted to Chairman’s Office for approval and highlight any out of policy spend
- Manage conference room reservations, distribution lists as well as assist with Amex Entertain, processing invoices, ordering supplies, etc.
- Assist with special events, projects, and initiatives
Minimum Qualifications
- Ideal candidate should have 3+ years of previous experience as an Executive Assistant to a senior leader
- Proven ability to work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks
- Strong sense of integrity for using discretion and maintaining confidentiality with sensitive information
- Motivated, proactive team player with the ability to interact with colleagues at all levels of a diverse, global organization
- Excellent verbal and written communication skills
- Strong attention to detail with emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing
- High proficiency in Microsoft PowerPoint, Excel, Word, and Outlook and willingness to learn new technology
- Must work well under pressure without losing composure and professionalism
