What We Need
A highly organized, proactive Executive Assistant who will manage the CEO’s calendar, communications, logistics, and operational workflows that keep the company running smoothly. This role is onsite in Palo Alto and begins as a part‑time position (20–30 hours/week) with a clear path to full‑time as the company scales and the CEO’s operational load increases. This is ideal for someone who thrives in a fast‑moving startup environment, anticipates needs before they arise, and brings structure to ambiguity.
Key Responsibilities
Own and manage the CEO’s complex calendar, including scheduling, prioritization, and real‑time adjustments.
Coordinate meetings, offsites, investor sessions, and cross‑functional reviews with precision and professionalism.
Handle email triage, draft communications, and ensure timely follow‑up on key actions and commitments.
Prepare agendas, capture notes, and track action items across leadership and operational meetings.
Manage travel logistics, itineraries, reservations, and expense reporting.
Serve as the CEO’s operational partner — anticipating needs, removing friction, and ensuring focus on the highest‑impact priorities.
Support office operations, vendor coordination, and onsite logistics as needed.
Maintain confidentiality and handle sensitive information with discretion and judgment.
Build scalable administrative processes as the company grows from early‑stage to multi‑team operations.
Expand responsibilities over time as the role may transition from part‑time to full‑time, including broader operational support and cross‑functional coordination.
Required Skills & Qualifications
5–10 years of experience supporting a senior executive, ideally in a startup or high‑growth environment.
Exceptional calendar management, organizational, and prioritization skills.
Strong written and verbal communication abilities; comfort drafting emails and internal communications.
High level of professionalism, discretion, and emotional intelligence.
Ability to operate independently, make sound decisions, and anticipate needs without constant direction.
Proficiency with tools such as Google Workspace, Slack, Zoom, and basic project‑tracking systems.
Comfortable working onsite in Palo Alto and adapting to a dynamic, fast‑paced environment.
Bonus: experience supporting a technical founder or CEO, or familiarity with early‑stage company operations.
Compensation
Target hourly rate for this role is $45–$70 per hour depending on experience.
