Business & Administrative Support is responsible for assisting general business operations by providing an array of administrative and data support activities.
Administration is responsible for performing a variety of administrative activities in support of their assigned work team. May assist executives in budget preparation, record maintenance, and generating reports regarding operations, personnel changes, etc. Uses company software to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May design processes to enhance workflow. Serves as administrative liaison with others within and outside the company regarding administrative issues.
Job Summary
Reporting to the Chief Executive Officer, the Executive Assistant to the CEO is a pivotal role at the heart of the organization. This position serves as a strategic partner to the CEO, ensuring the CEO’s time is optimized and the CEO’s office operates with the highest level of efficiency, accuracy, and professionalism. The role interfaces routinely with the Board of Directors, Executive Leadership Team, and internal and external stakeholders, requiring exceptional judgment, discretion, and a proactive, solutions-oriented approach.
Responsibilities
Strategic calendar and time management: Serve as a strategic gatekeeper for the CEO’s calendar, proactively prioritizing commitments to align with enterprise goals, stakeholder needs, and key business routines (e.g., earnings cycle, Board/committee cadence, EC/OC operating cadence).
Meeting readiness and executive materials: Anticipate needs and ensure the CEO is fully prepared with accurate, timely materials (briefings, agendas, pre-reads, talking points, presentations) for internal and external meetings, conferences, and speaking engagements.
Board of Directors and executive leadership support: Partner with the Corporate Secretary/Legal team and key stakeholders (e.g., Investor Relations, Finance) to support Board and committee processes as assigned, including meeting preparation, materials coordination, action-item tracking, and follow-through.
Stakeholder and communication management: Serve as a primary point of contact for the CEO’s office, screening and managing incoming communications (calls, email, meeting requests) and handling inquiries independently when appropriate. Draft, edit, and proofread high-level correspondence and documents on behalf of the CEO.
Complex travel, logistics, and contingency planning: Orchestrate complex domestic and international travel, including detailed itineraries, meeting logistics, and contingency plans. Ensure accuracy of travel documentation and real-time coordination during travel as needed.
Executive Protection partnership: Partner closely with Executive Protection on all CEO travel, events, and visitors to ensure security protocols are followed and logistics are seamless; coordinate calendars, standing touchpoints, and required planning meetings.
Expense management: Manage and reconcile expense reports in a timely, accurate manner, ensuring compliance with travel and expense policies.
Executive office operations: Maintain awareness of relevant policies and updates (travel, expenses, administrative procedures) and communicate changes as needed. Coordinate executive office operational needs (e.g., office supplies and deliveries/mail) as appropriate to support the CEO’s business requirements.
Special projects and process improvement: Lead and execute special projects as assigned by the CEO, demonstrating ownership from planning through delivery. Develop and continuously improve administrative processes to increase efficiency, reduce risk, and improve stakeholder experience.
Talent and recruiting coordination (as needed): Partner with Talent Acquisition and senior leaders to schedule interviews, calibrations, and other recruiting-related meetings for executive-level hiring.
Collaboration: Build strong working relationships across the enterprise, including other Executive Assistants and functional partners, to coordinate priorities and enable a high-performing executive office.
Qualifications
Experience: 10+ years of experience supporting C-suite executives; prior experience supporting a CEO and interfacing with Board members in a large, complex, global organization strongly preferred.
Education: Bachelor’s degree highly preferred, or equivalent experience.
Discretion and judgment: Demonstrated ability to handle highly confidential and sensitive information with integrity, tact, and sound judgment.
Executive presence: Professional presence and the ability to interact effectively with directors, executives, senior leaders, and external stakeholders.
Technical proficiency: Expert proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort quickly adopting new technologies and collaboration tools.
Communication: Exceptional written and verbal communication skills, including strong attention to detail and ability to produce polished deliverables under time constraints.
Organization and agility: Superior organizational skills; ability to manage multiple priorities, pivot quickly, and meet deadlines in a fast-paced environment.
Problem solving: Proactive, solutions-oriented approach with demonstrated ability to anticipate issues, mitigate risk, and drive to resolution with minimal direction.
