The Executive Assistant to the CEO will provide high-level, proactive administrative support in a fast-paced environment, serving as a seamless extension of the CEO. This critical role demands a strong sense of urgency, impeccable professional appearance and demeanor, and the ability to anticipate needs while representing the company with poise and discretion on behalf of the CEO. The ideal candidate is a highly detail-oriented professional who thrives under pressure, pivots effortlessly between priorities, manages complex demands, and handles sensitive information with the utmost confidentiality.
Key Responsibilities- Proactively coordinate and manage the CEO’s dynamic schedule, including scheduling meetings, appointments, and travel arrangements, while resolving conflicts with urgency and foresight.
- Serve as the primary gatekeeper and point of contact for internal and external stakeholders, screening calls, emails, and correspondence with professionalism, tact, and a sense of urgency.
- Prepare agendas, take accurate minutes, and organize materials for executive meetings, ensuring timely follow-up on action items.
- Draft, edit, and organize reports, presentations, and confidential documents, accurately representing the CEO's voice and standards.
- Arrange domestic and international travel with efficiency and cost-effectiveness, anticipating potential issues and preparing detailed itineraries.
- Support the CEO with special projects, research, and data compilation, proactively identifying needs to facilitate informed decision-making.
- Maintain a highly organized office environment, manage supplies, and coordinate with departments to drive cross-functional initiatives.
- Assist in organizing company events, board meetings, or executive retreats as required.
- Act as the CEO's representative in meetings, events, and daily office interactions, consistently upholding a polished professional appearance and demeanor that positively reflects the company.
Experience: 3+ years of administrative experience, preferably supporting C-level executives in a fast-paced, high-stakes environment.
Education: Bachelor’s degree preferred; Associate’s degree or equivalent experience required.
Skills:
- Exceptional organizational, prioritization, and time-management abilities, with a proven capacity to handle multiple competing demands.
- Strong written and verbal communication skills, including the ability to represent the CEO authentically in communications.
- Proficiency in Google Workspace, Microsoft Office Suite, and scheduling tools.
- Familiarity with virtual meeting platforms (Zoom, Microsoft Teams, Google Meet).
- Demonstrated discretion in handling confidential and sensitive information.

Compensation: Exempt, $95,000 - $100,000
