As we continue to grow, we are seeking an experienced Executive Assistant to the CEO to join the team and contribute significantly to Unstructured’s success.
About the Role:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO and leadership team. This role is ideal for someone who thrives in a fast-paced environment, handles confidential information with discretion, and anticipates needs before they arise. You’ll be the right hand to our CEO, ensuring their day runs smoothly and efficiently while also providing support to the broader leadership team.
Responsibilities:
Own and manage the CEO’s calendar, including scheduling meetings, prioritizing appointments, and ensuring alignment across teamsManage the CEO’s inbox, including email triage, drafting correspondence, and flagging important items
Meeting Coordination: Prepare agendas, manage meeting logistics, take comprehensive notes, and follow up on action items to ensure efficient and productive meetings
Oversee expense reports, reimbursements, and light financial tracking for the CEO
Coordinate all travel arrangements for the CEO including flights, hotel bookings, and transportation
Support calendar scheduling for other members of the executive leadership team as needed
Book conferences, hotels, and accommodations for company events or off-sites
Prepare materials for meetings and track follow-ups
Serve as a trusted gatekeeper and liaison for internal and external stakeholders
Qualifications:
3+ years of experience as an Executive Assistant, ideally supporting C-level executives
Exceptional organizational and time management skills
Able to think strategically and quickly to resolve any
Strong written and verbal communication abilities
Proficient in Google Workspace, Slack, calendar tools, and travel platforms
High level of discretion and professionalism
Resourceful, solution-oriented, and calm under pressure
