Voxel is seeking a highly organized, flexible, and self-motivated Executive Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will thrive in a fast-paced environment and demonstrate exceptional multitasking abilities, attention to detail, and a proactive approach to problem-solving. Your strategic vision will drive our innovation and deliver cutting-edge AI solutions to our sophisticated enterprise clients.

What You'll Do

  • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements to ensure optimal time management and efficiency.
  • Handle all forms of communication, including emails, phone calls, and correspondence, ensuring timely and professional responses.
  • Prepare agendas, take minutes, and follow up on action items from meetings to ensure effective communication and execution of tasks.
  • Organize and maintain files, records, and documents, both electronic and physical, ensuring easy retrieval and confidentiality.
  • Act as a point of contact between the CEO and internal/external stakeholders, fostering positive relationships and ensuring smooth communication.
  • Conduct research and compile information for reports, presentations, and special projects as required by the CEO.
  • Perform any other administrative or support duties as needed to assist the CEO and contribute to the overall efficiency of the company.

Qualifications

  • Minimum of 3+ years of experience as an Admin for an executive and 7+ years in an administrative role.
  • Excellent written and verbal communication skills, with the ability to fluently correspond with investors and stakeholders on behalf of the CEO.
  • Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite and Gsuite Calendar 
  • Ability to work both independently and collaboratively in a fast-paced environment; ideally in a startup environment 
  • Proven track record of operating with a high level of discretion and confidentiality.
  • Proactive and flexible attitude with a strong problem-solving mindset.

Location

  • This is a hybrid role with an expectation to be in an office setting 3 days per week in either San Francisco or Chicago
