Role Purpose

The Executive Assistant to the CEO is responsible for providing professional and efficient administrative and organizational support to the Chief Executive Officer. The role is responsible for coordinating the CEO’s schedule, meetings, correspondence, travel arrangements, documentation, and day-to-day administrative requirements.

The position requires a high level of organization, attention to detail, discretion, and professionalism, as well as the ability to manage multiple priorities and maintain effective communication with internal and external stakeholders. 

What you'll be doing

 Executive Support

  • Provide day-to-day administrative support to the CEO.

  • Coordinate and maintain the CEO’s calendar, appointments, meetings, and commitments.

  • Schedule and coordinate internal and external meetings, ensuring all logistical requirements are addressed.

  • Prepare meeting agendas, presentations, reports, correspondence, and other documents as required.

  • Monitor outstanding tasks and follow up with relevant individuals to ensure timely completion.

  • Assist the CEO with administrative requests and ad hoc assignments.

Communication and Coordination

  • Manage and organize correspondence, emails, and other communications as required.

  • Ensure matters requiring the CEO’s attention are appropriately highlighted and followed up.

  • Liaise with internal departments and employees to coordinate requests and obtain required information.

Travel and Event Coordination

  • Coordinate domestic and international business travel arrangements, including flights, accommodation, transportation, and itineraries.

  • Assist with last-minute changes or adjustments to travel and meeting arrangements.

  • Ensure CEO’s expenses are uploaded weekly for reimbursements

Office and Administrative Support

  • Coordinate with the Office Manager on administrative and operational matters related to the Executive Office.

  • Assist with office-related activities and arrangements involving the CEO.

  • Support the Office Manager with administrative tasks and projects as required.

  • Undertake other duties and responsibilities reasonably associated with the position.

What you’ll need to succeed  

  • 3–5 years of relevant experience in an Executive Assistant, Personal Assistant, Administrative Assistant, or similar role.

  • Previous experience supporting a senior executive is preferred.

  • Excellent written and verbal communication skills in English and preferably French

  • Strong proficiency in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel.

  • Excellent organizational and time-management skills.

  • Strong attention to detail and accuracy.

  • Ability to prioritize and manage multiple tasks simultaneously.

  • Strong written and verbal communication skills.

  • Ability to work independently and meet deadlines.

  • Strong interpersonal skills and ability to interact effectively with individuals at different levels of the organization.

  • Ability to handle confidential information with discretion.

  • Proactive and solution-oriented approach.

  • Flexibility and ability to adapt to changing priorities.

Skills Required
