Position Description

 

We are seeking an exceptionally organized, detail-oriented, and experienced Executive Assistant (EA) to support our Chief Executive Officer. This role is mission-critical and ideal for a high-performing professional with at least 10 years of experience supporting C-level executives or performing in a comparable high-stakes, high-complexity administrative capacity.

The ideal candidate is a master of precision, written and verbal communication, and executive-level discretion—someone who thrives in a fast-paced, dynamic environment and consistently delivers excellence with minimal oversight.

 

Major Areas of Responsibility

 

  • Executive Calendar Management:
    Maintain and optimize the CEO’s calendar, including proactive scheduling, prioritization of meetings, and seamless coordination across internal teams, board members, clients, and external stakeholders.
  • Travel & Logistics:
    Plan and coordinate complex domestic and some international travel arrangements, including itineraries, accommodations, ground transportation, visas, and contingency planning.
  • Communications Gatekeeping & Drafting:
    Screen and triage emails, proactively draft correspondence, prepare talking points, presentations, and internal/external communications with exceptional grammar and tone alignment.
  • Meeting Preparation & Follow-Up:
    Prepare detailed briefing materials, agendas, and notes; track follow-up items to ensure execution and alignment across the executive team.
  • Project & Initiative Support:
    Take direct ownership of individual projects and strategic initiatives led by the CEO. Drive execution of key priorities by pushing forward the CEO’s and company’s agenda across departments, ensuring progress across multiple workstreams with minimal oversight.
  • Cross-Functional Coordination:
    Serve as an operational extension of the CEO—supporting collaboration between executive leadership, department heads, and external partners. Ensure high-priority items move forward with clarity and accountability.
  • Confidential Information Handling:
    Exercise utmost discretion with sensitive company information, personnel issues, and strategic initiatives.
  • Relationship Management:
    Act as a liaison between the CEO and stakeholders, including investors, partners, regulators, and board members—often representing the CEO in high-level interactions.
  • Operational Support:
    Assist in compiling board materials, investor decks, and regulatory submissions; support internal operational processes with high attention to detail and timeline management.

 

Required Knowledge, Skills, and Abilities

 

  • Minimum of 10 years of executive-level administrative experience, preferably in financial services, fintech, or enterprise software industries.
  • Proven experience independently managing strategic projects and initiatives for a CEO or executive.
  • Proactive and not reactive with communication, notifications, project updates and statuses.
  • Expert-level knowledge of the full Microsoft Office Suite—including Teams, Outlook, Word, Excel, and PowerPoint.
  • Exceptional written and verbal communication skills—professional, clear, and concise.
  • Impeccable attention to detail—nothing gets past you.
  • Ability to learn detailed business practices and understand the context of why business decisions are made.
  • Demonstrated ability to manage multiple priorities in a deadline-driven environment.
  • Experience handling confidential information with discretion and sound judgment.
  • Capable of anticipating needs and acting with urgency, accuracy, and reliability.
  • Bachelor’s degree required; advanced education or certifications are a plus.

 

Optional: Nice to Haves

 

  • Prior experience supporting a CEO, founder, or executive in a high-growth company.
  • Familiarity with financial reports, investor relations, and board-level communication.
  • Experience in Financial Services and/or Software industry
  • Understanding of compliance or regulatory documentation in finance or software contexts
