About the Role

We are seeking a highly organized and proactive Executive Assistant to support the CEO of our fast-growing fintech company. The ideal candidate will act as a trusted partner to the CEO, ensuring seamless day-to-day operations and enabling the CEO to focus on strategic priorities. This role requires excellent communication, problem-solving, and project management skills, as well as the ability to thrive in a fast-paced, high-growth environment.


What you will own

Reporting to the Business Operations Lead you will :

  • Administrative Support:
    • Manage the CEO's calendar, scheduling meetings, appointments, and travel.
    • Handle all incoming communication (emails, calls, etc.), prioritizing and responding on behalf of the CEO where appropriate.
    • Prepare and organize materials for meetings, including reports, presentations, and briefing documents.
    • Attend meetings with or on behalf of the CEO, capturing minutes and action items.
  • Project Management:
    • Assist the CEO in tracking and managing key company projects, ensuring deadlines are met.
    • Collaborate with various departments to follow up on deliverables, gather information, and prepare progress reports.
    • Coordinate special projects as assigned, ensuring that all stakeholders are informed and engaged.
  • Financial and Operational Tasks:
    • Support the CEO in reviewing, analyzing, and summarizing financial reports, including budgets, forecasts, and performance metrics.
    • Assist with the preparation of investor updates, board presentations, and key internal communications.
    • Liaise with the finance team to handle expense reporting, budget tracking, and other financial tasks as needed.
  • Stakeholder and Investor Relations:
    • Serve as a primary point of contact for high-level external relationships, including investors, partners, and clients.
    • Coordinate investor meetings, calls, and presentations, ensuring that all materials are prepared and attendees are briefed.
    • Manage confidential documents and ensure all sensitive information is handled with discretion.
  • Strategic Support:
    • Conduct research and analysis on industry trends, competitors, and emerging technologies to support the CEO's decision-making process.
    • Assist in preparing strategic plans, agendas, and presentations for executive meetings and industry events.
    • Proactively identify opportunities to improve operational efficiency and streamline the CEO’s workload.
  • Travel and Event Coordination:
    • Arrange detailed travel itineraries for domestic and international trips, including flights, accommodations, and logistics.
    • Plan and coordinate company events, leadership off-sites, and external meetings with key stakeholders.

What We’re Looking For From You

  • Experience:
    • Minimum of 3-5 years’ experience as an Executive Assistant, ideally in a fintech, technology, or high-growth startup environment.
    • Experience working directly with C-level executives, ideally supporting a CEO.
    • Experience with project management and financial analysis is a strong plus.
  • Skills:
    • Exceptional organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
    • Strong written and verbal communication skills, with the ability to prepare concise and professional reports and presentations.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint), G-Suite.
    • Strong analytical skills, with the ability to understand and interpret financial reports and data.
  • Personal Attributes:
    • High level of discretion and professionalism, especially when handling confidential information.
    • Proactive, problem-solving mindset with strong attention to detail.
    • Ability to work independently and take initiative while maintaining a collaborative attitude.
    • Flexibility and adaptability to manage a fast-paced, dynamic environment.
