We are looking for a Boston-based Executive Assistant to support a member of Suffolk's C-suite. This is an opportunity for an experienced, highly organized professional who thrives in a fast-paced environment and enjoys being a trusted partner to senior leadership. Working closely with the executive, their leadership team, and stakeholders across the organization, this individual will help manage priorities, coordinate complex business activities, and keep key initiatives moving forward.


The ideal candidate is proactive, resourceful, and detail oriented, with the ability to anticipate needs, exercise sound judgment, and adapt to changing priorities. They are a strong communicator who can build relationships across the organization, handle sensitive information with discretion, and balance multiple responsibilities while maintaining a high level of accuracy and professionalism.


In addition to managing calendars, travel, meetings, and logistics, this individual will help bring structure and focus to the executive's day, ensuring priorities stay on track and important commitments are met. Success in this role requires flexibility, strong organizational skills, and the ability to navigate a dynamic environment with confidence and professionalism.


This role is based in our Boston headquarters and requires an on-site presence five days per week. Employees enjoy access to free parking, an on-site gym, cafeteria, and other amenities that support Suffolk's collaborative culture and workplace experience.

Responsibilities
  • Manage a complex executive calendar, balancing competing priorities and anticipating scheduling needs.
  • Coordinate domestic and international travel, including itineraries, logistics, and expense reporting.
  • Prepare meeting agendas, materials, notes, and follow-up actions.
  • Serve as a key point of contact for internal and external stakeholders.
  • Partner closely with the executive and leadership team to coordinate communications, priorities, and key business activities.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Prepare presentations, reports, correspondence, and other business materials.
  • Coordinate leadership meetings, team events, offsites, and special projects.
  • Track action items and follow through on key deliverables to help ensure commitments remain on schedule.
  • Provide proactive administrative and operational support as needed.
Qualifications
  • Bachelor's degree preferred, with 5-12 years of experience supporting senior executives or business leaders.
  • Proven ability to manage multiple priorities in a fast-paced environment with exceptional attention to detail.
  • Strong business judgment and the ability to handle sensitive and confidential information with discretion.
  • Excellent written and verbal communication skills, with the ability to build relationships across all levels of the organization.
  • Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Highly organized, proactive, and resourceful, with the ability to anticipate needs and work independently.
  • Collaborative, adaptable, and comfortable navigating a dynamic environment.
  • Experience supporting leaders in construction, technology, professional services, or similarly fast-paced industries is a plus.

Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.

Skills Required

  • 5-12 years of experience supporting senior leaders in an executive, administrative, or business support capacity
