Position Summary
The Executive Assistant provides high-level administrative and operational support to the Site General Manager in a fast-paced manufacturing environment. This role requires a highly organized, proactive, and detail-oriented professional who can manage competing priorities with efficiency and discretion. The ideal candidate demonstrates strong communication skills, anticipates needs, and exercises sound judgment when handling confidential information.
Duties and Responsibilities
- Provide comprehensive administrative support to the Site General Manager, including complex calendar management, meeting coordination, and travel arrangements
- Prepare reports, presentations, and operational summaries for leadership meetings and site reviews
- Track and monitor key operational metrics, deadlines, and project milestones
- Coordinate, facilitate, and document meetings (agendas, minutes, and action items)
- Serve as a liaison between the Site General Manager and cross-functional teams (operations, production, supply chain, HR)
- Manage sensitive and confidential information with a high level of professionalism and discretion
- Prioritize and manage multiple requests in a fast-paced, deadline-driven environment
- Support special projects and continuous improvement initiatives as needed
Required Knowledge, Skills, and Abilities
- Advanced organizational and time-management skills with the ability to manage multiple priorities
- Strong written and verbal communication skills across all levels of the organization
- High attention to detail and accuracy in reporting and coordination
- Proactive problem-solving skills with the ability to anticipate needs and take initiative
- Strong interpersonal skills with the ability to build relationships across cross-functional teams
- Ability to maintain confidentiality and exercise sound judgment
- Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint)
- Adaptability and resilience in a fast-paced, high-pressure environment
- Bachelor’s degree preferred (Business Administration, Operations, or related field)
- 2–5 years of experience as an Executive Assistant, preferably in a manufacturing or operations environment
- Experience supporting senior leadership in a fast-paced setting
- Bilingual in Chinese is required.
