Parsons is looking for an experienced and talented Executive Assistant (Arabic / English) to join our team in Doha, Qatar! In this role, you will provide high-level executive support to client top management, ensuring effective schedule management, administrative coordination, and confidential handling of information. You will help enable efficient decision-making and smooth day-to-day operations by managing calendars, meetings, communications, and documentation.
What You’ll Be Doing
- Managing and organizing the client top management’s daily calendar to ensure efficient time management and avoid scheduling conflicts.
- Screening and prioritizing requests for the client top management’s time.
- Organizing meetings and coordinating agendas, logistics, and required materials.
- Working closely and effectively with client top management to keep them informed of upcoming commitments, responsibilities, and deadlines.
- Writing and editing minutes of meetings; drafting and typing reports, correspondence, and other documents while ensuring consistency and adherence to standard formats.
- Following up on pending matters and actions with only limited guidance.
- Answering telephone calls, providing relevant information to callers, and screening/routing calls to the appropriate individuals.
- Placing outgoing calls as required.
- Greeting and escorting visitors to meeting rooms and assisting with queries as needed.
- Researching and resolving administrative issues within the department.
- Ensuring error-free documentation and supporting departmental activities and productivity in an effective and efficient manner.
- Coordinating with the Travel team to manage travel, transportation, and accommodation arrangements for client top management.
- Receiving, sorting, and distributing incoming mail for the department.
- Preparing and arranging the distribution of outgoing mail to relevant parties.
- Consolidating, maintaining, and updating computerized records of departmental activities to ensure a smooth flow of information and tasks.
- Performing other duties and responsibilities as needed, and determining and managing priorities with minimal guidance.
What Required Skills You’ll Bring
- Bachelor’s Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
- Minimum 5 years of experience in executive administration or providing support to senior/executive management.
- Excellent time management and organizational skills, with the ability to manage multiple tasks and deadlines.
- Strong oral and written communication skills in both Arabic and English.
- Ability to work under pressure while maintaining a high level of accuracy and attention to detail.
- Excellent knowledge of MS Office applications, especially Word, Excel, PowerPoint, and Outlook.
- Proven ability to handle confidential information with discretion and professionalism.
- Effective team player with strong interpersonal skills.
