The Executive Assistant and/or Administrative Assistant III/Sr is responsible for providing administrative support to our Executive Leaders and particularly the Legal Department's VP, Assistant General Counsel - Corporate Secretary. To be successful in this role, you’ll need to be exceedingly well organized, handle a range of sophisticated assignments requiring the use of experience, innovation and judgment, while working closely with the Corporate Secretary, his team and their sources!
Responsibilities/Expectations:Provides administrative and clerical support for one or more persons, including work of a confidential nature
Responds to inquiries from our internal and external business partners
Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, preparing presentations, monitoring data, reporting
Maintains cost center data and analysis
Assists with preparation of budgets and forecasts
Supervises work of personnel on assigned projects
Mentors others
Manages administrative support for a transactional legal team, handling routine and ad hoc requests with discretion and adaptability
Prepares meeting logistics materials and coordinates the distribution of board of directors materials and reports; interfaces professionally with directors and C-suite leadership
Supports SEC filing processes, including preparation and electronic submission of required forms
Partners with Paralegals to provide backup on transactional legal work and team support
Other duties as assigned
Required: High school diploma or GED; a minimum five (5) years’ experience supporting executive management
Preferred: Bachelor’s degree
Strong verbal and written communication skills
Demonstrates excellent organizational/interpersonal skills and safety as the utmost priority
Needs advanced knowledge of Microsoft Office Application and PC skills, including Microsoft Teams
Excellent time management skills, including the coordination of executive meetings, calendars and travel
Demonstrates ability to handle confidential and sensitive information
Preferred: Beginner to Intermediate knowledge of SharePoint
