The Executive Assistant/Board Liaison is responsible for directing & coordinating the priorities of the Board of Directors and Advisory Council. Working closely with the CEO and Director of Operations and Technology, anticipate and prioritize the Board and Advisory Council’s needs, as well as confirm, coordinate, and organize meetings. Maintain rosters and records of training and completion of required forms. Review, create, organize, proofread, and maintain confidential information/documents. Maintains professional communication/s and confidentiality of information as appropriate. Provides efficient and accurate administrative support to the members of the Board of Directors and Advisory Council, especially the respective chairpersons. This position also provides administrative support for agency events, such as Town Hall meetings, Annual Community Meeting, Annual Staff (Holiday) Party, etc. This includes issuing invitations, collecting responses, producing name tags and sign-in sheets, and other tasks.
DUTIES INCLUDE:
- Responsible for all administrative activities for the Board and Advisory Council, including maintaining calendar, scheduling meetings, and preparing agendas and meeting materials.
- Assist the chairpersons of the Board and Advisory Council with any necessary communications and information gathering. Maintain the rosters for both internal and external use.
- Working with agency leadership, communicate training and documentation requirements to Board members and maintain spreadsheets documenting completion.
- Assist with various large projects as part of the Executive Services Team.
- Provide administrative support for agency events.
- Provide operational back-up support as needed.

QUALIFICATIONS:
- Must be self-directed, results driven, detail oriented, strong organizational skills, advanced grammar and proofreading skills required.
- Able to effectively interact with all levels of employees, external stakeholders, public officials, and top level executives is necessary.
- Strong computer skills in Word, Excel and Outlook required.
- Ability to operate general office equipment including printers, fax machines, copiers, and phones is necessary.
- 2 year degree minimum in Liberal Arts, Bachelors degree preferred.
