Key Accountabilities 
 

Reporting to the Managing Director, Investments, we are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to members of the Renewable Power & Transition Executive Team and their direct reports. This role will primarily support senior leaders across Investments, Investor Relations, and Portfolio Management.
 

The successful candidate will be a self-starter with exceptional attention to detail, professionalism, and discretion. The ability to thrive in a fast-paced environment, manage competing priorities, and maintain a positive and solutions-oriented approach under pressure is essential.

Responsibilities:

  • Provide comprehensive calendar and scheduling management for senior executives, including coordination of complex and dynamic meeting schedules.
  • Coordinate domestic and international travel, including detailed itineraries and logistical support.
  • Support event planning and project management activities as required.
  • Prepare and edit high-quality presentations in PowerPoint, incorporating charts, graphs, and visual elements to effectively convey key messages.
  • Manage document preparation and distribution for internal and external meetings, ensuring accuracy and timeliness.
  • Review, process, and reconcile vendor invoices and expense reports; maintain accurate financial tracking in accordance with company policy.
  • Manage incoming communications, including email, phone, and correspondence, ensuring timely and appropriate follow-up.
  • Provide support to other Executive Assistants during peak periods, absences, or high-demand projects.
  • Support onboarding activities for new employees, ensuring their smooth transition.
  • Participate in ad hoc office and operational projects, including process improvement and documentation management initiatives.

Requirements:

  • Minimum 5 years of administrative experience, preferably supporting senior executives in a corporate environment.
  • Proven ability to handle confidential and sensitive information with the utmost discretion.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Concur or similar expense management systems is an asset.
  • Exceptionally organized with the ability to anticipate needs and act proactively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Ability to manage multiple priorities efficiently while maintaining a high standard of accuracy.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Strong interpersonal skills, sound judgment, and a professional demeanor.
  • Flexibility to work overtime as required.
