SGA Dental Partners in Richmond Hill, GA is hiring for an Executive Administrative Associate!

This role will provide administrative support and general assistance services for the Director of Provider Services and CCO. The position is in person at our corporate headquarters in Richmond Hill, GA and reports to the Director of Provider Services. Duties include preparing, drafting, and filing correspondence, reports, and other documents; screening and answering telephone calls; greeting visitors; arranging travel and meeting logistics; maintaining calendars; assisting departmental and executive personnel; shipment and inventory management of promotional materials; and providing mail services. This position requires strong computer skills, excellent interpersonal skills, project coordination experience, and the ability to work effectively with all levels of internal management, staff, external clients, and vendors.

Key Responsibilities:

  • Perform general administrative and clerical tasks to support departmental and executive operations, including drafting letters, memos, invoices, reports, and other documents.

  • Provide high-level administrative support and assistance to assigned leadership staff and/or executive office, including the CCO.

  • Collaborate with the Executive Administrative Associate to the CEO on projects on an as-needed basis.

  • Respond to routine inquiries and requests for information; relay administrative details to appropriate team members or supervisors; screen calls on behalf of executives.

  • Receive, review, route, and process various forms, reports, and documentation.

  • Locate and retrieve records using computer systems or manual files; assist in resolving issues related to missing or misfiled documents.

  • Collect and prepare information for use in discussions and meetings.

  • Compose and type routine correspondence.

  • Arrange travel and accommodations for executives.

  • Coordinate, schedule, and attend meetings on behalf of executives, taking notes and recording minutes.

  • Maintain corporate calendar.

  • Assist in the planning of corporate events.

  • Provide a professional and welcoming presence to visitors and callers; present a positive and respectful professional image towards internal and external stakeholders.

  • Coordinate shipment and manage inventory of promotional materials for several annual meetings and events.

  • Must be willing to drive and travel occasionally in order to ship, deliver, or coordinate logistics for events.

Knowledge / Skills / Abilities:

  • Knowledge of administrative procedures, methods, and office management systems as required in the performance of duties.

  • Excellent organizational skills and attention to detail.

  • Ability to compile, organize, prepare, and maintain an assortment of records and reports.

  • Ability to operate general office equipment.

  • Excellent written and verbal communication skills.

  • Ability to maintain confidential information.

  • Project coordination experience and the ability to work effectively with all levels of management, staff, clients, and vendors.

  • Adept in presenting a positive and respectful professional image towards internal and external stakeholders.

Education / Experience:

  • High school diploma or GED required; Bachelor's degree in Business Administration or related field preferred.

  • One to four years of related clerical or administrative experience; level of experience commensurate with role complexity.

  • Ability to maintain confidential information.
