This is a high-visibility, high-trust role at the center of TemperPack’s executive operations. The Executive Administrative Assistant works directly with the Chief of Staff and the Executive Leadership Team (ELT)- keeping leadership organized, events running smoothly, and day-to-day operations humming across our offices and beyond.

We’re looking for someone who takes ownership, reads the room, anticipates needs before they’re voiced, and represents the executive office with professionalism and warmth. If you thrive in a fast-paced environment where no two weeks look the same — this is the seat for you.

Supervisor’s Title: Chief of Staff

Department: Executive

Location: Richmond, VA (Hybrid)

About TemperPack

TemperPack is a rapidly growing company based in Richmond, Virginia and with locations in Las Vegas, Nevada, and Lansing, Michigan. We design and manufacture innovative, sustainable packaging components for cold-chain shipping of food and pharmaceutical products.  The markets we serve have an urgent need for disruptive, sustainable alternatives to replace the wide array of non-sustainable packaging materials conventionally used in the cold-chain such as Styrofoam coolers.  Our aspiration is to provide packaging solutions that customers and end-consumers feel great about using.

Essential Job Functions:

  • Manage complex, high-priority calendars for the CEO and ELT — appointments, prioritization, and proactive conflict resolution
  • Coordinate executive travel: flights, hotels, ground transportation, and itineraries that are accurate and ready before departure
  • Prepare and reconcile expense reports for executive team members
  • Organize internal and external meetings end-to-end: scheduling, agendas, reminders, venue booking, and catering coordination
  • Support Board of Directors meeting logistics, including preparation, scheduling, and follow-up coordination
  • Serve as the front-of-house for the Richmond office — greeting visitors, managing the environment, and owning the experience from arrival to departure
  • Manage corporate travel accounts, purchasing cards, and vendor relationships for office needs
  • Support our commercial team with trade show planning, customer event coordination, and travel logistics
  • Provide remote support to Las Vegas and Holt, MI offices on office management and company events
  • Partner with the Chief of Staff on special projects, communications support, and cross-functional coordination as needed
Qualifications

Education and Experience:

  • 6–8 years of experience supporting a C-suite or executive team in a fast-paced environment
  • Exceptional organizational skills — you can manage multiple moving parts without dropping anything
  • Outstanding written and verbal communication; you can draft a message or set an agenda that represents leadership well
  • Deep proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
  • Discretion is non-negotiable — you handle sensitive information with maturity and confidentiality
  • Proactive by default: you don’t wait to be told, you identify what’s needed and move
  • Comfortable with ambiguity and able to make sound decisions without step-by-step guidance
  • A genuine team player who brings positive energy and takes pride in making others more effective
  • Bachelor’s degree in a related field, or equivalent professional experience.

Candidates must be authorized to work in the United States on a permanent and ongoing basis. This position is not eligible for employment visa sponsorship now or in the future.

Physical Requirements:

  • Lift up to 15 pounds unassisted
  • Prolonged periods of sitting at a desk and working at a computer
