The Executive Administrative Assistant provides administrative support specifically a C-level executive. They will require in-depth knowledge of company operations, policies, and procedures.  The responsibilities will include collection and preparation of information for use in discussions/meetings of executive staff and outside individuals. In addition, the assistant will prepare presentation materials for board of director or investor meetings. The assistant makes high level contacts of a sensitive nature inside and outside the company. 

This high-level position requires a strategic thinker with impeccable discretion, superior organizational skills, and the ability to anticipate needs before they arise. The ideal candidate will be a consummate professional, adept at managing complex situations and interfacing with all levels within the organization.

Key Responsibilities: 

  • Serve as the primary point of contact for internal and external communications on behalf of the executive 
  • Manage a complex and dynamic calendar, including prioritizing critical meetings and engagements 
  • Work collaboratively to ensure enterprise wide finance and corporate calendars are well planned and aligned
  • Coordinate domestic and international travel, ensuring flawless execution 
  • Prepare and edit correspondence, presentations, and reports 
  • Organize meetings, employee celebrations, and strategic planning sessions 
  • Manage confidential and sensitive information with the utmost discretion 
  • Oversee special projects and initiatives as needed 
  • Act as a liaison between the executive and other C-suite members, and key stakeholders 
  • Coordinate office area and maintain a professional working environment
  • Plan and executive events and meetings for leadership team
  • Anticipate the executive's needs and proactively resolve potential issues

Qualifications

Minimum Requirements:

  • High School diploma/GED
  • 7 years of experience supporting C-level executives in a fast-paced corporate environment 
  • Expert proficiency in Microsoft Office Suite, with advanced skills in Outlook, PowerPoint and Excel
  • 5 years of experience coordinating international & domestic travel for leaders
  • Strong project management skills 
  • Experience with AI tools and resources

Preferred qualifications:

  • Bachelors degree
  • Experience managing enterprise wide finance and corporate calendars
  • Exceptional written and verbal communication skills 
  • Superior problem-solving abilities and strategic thinking skills 
  • Ability to maintain the highest level of confidentiality and professionalism 
  • Demonstrated ability to work effectively under pressure and meet tight deadlines 
  • Strong leadership skills with the ability to influence and collaborate at all levels 
  • Flexibility to work extended hours as needed
