We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to support our HR Director, CEO, and CFO. This role is critical in ensuring smooth day-to-day operations by managing schedules, coordinating travel, handling administrative tasks, and contributing to employee engagement initiatives. The ideal candidate thrives in a fast-paced environment, balances multiple priorities with ease, and brings both professionalism and creativity to the role.

RESPONSIBILITIES:

  • Manage complex calendars for the HR Director, CEO, and CFO, including scheduling meetings and prioritizing appointments
  • Coordinate internal and external meetings
  • Prepare reports, presentations and correspondence on behalf of executives 
  • Handle confidential information with discretion and professionalism
  • Ensure any travel plans run smoothly and adjust arrangements as needed
  • Maintain organized files and documentation
  • Support processing of paperwork, approvals, and internal communications
  • Partner with HR team to support engagement initiatives and events
  • Assist with creative design needs such a flyers, announcements, presentations, internal communication, and events
  • Hybrid role (combination of in-office and remote work). Candidate will work out of either the Battle Creek, MI or Old Fort, NC location based on proximity

REQUIREMENTS:

  • 3–5+ years of administrative experience, preferably supporting senior leadership
  • Strong organizational and time-management skills with the ability to multitask
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with design tools (e.g., Canva or similar) is a plus
  • Ability to work independently and adapt in a dynamic environment
