- Provide executive-level administrative support including scheduling, calendar management, travel coordination, expense reporting, and document preparation for the Canadian leader.
- Serve as a primary point of contact for internal and external stakeholders.
- Draft, edit, and proofread business communications, presentations, and reports.
- Support the coordination of leadership meetings, agendas, minutes, and follow‑up actions.
- Act as the first line of support for field teams experiencing internal system or technology issues.
- Diagnose, troubleshoot, and triage system-related concerns, escalating to IT or appropriate partners when required.
- Coordinate with IT, Operations, and other support teams to ensure timely resolution and communication back to the field.
- Manage day‑to‑day office operations to ensure a productive and organized work environment.
- Oversee office supplies, equipment, vendor relationships, and facility needs.
- Creating PO's for all office vendor and managing invoices.
- Work with Global procurement on contract renewals
- Responsible for Logo Gear program for field personnel
- Responsible to keep the record of Canada Directory
- Handle all incoming mail at the office
- Manage the relationship with the third‑party print vendor, ensuring service levels, response times, and quality standards are met.
- Track usage, performance metrics, invoices, and service issues to optimize budget and vendor value.
- Support special projects, cross‑functional initiatives, and process improvements as assigned.
- Assist in developing, standardizing, and enhancing administrative processes.
- Prepare reports, summaries, and status updates for leadership as needed.
- Responsible for Canadian On Call payment and customer invoicing for chargeable equipment for field personnel
- Minimum 3–5 years of administrative experience, preferably supporting leadership or field operations.
- Experience troubleshooting internal systems or coordinating with IT support teams is a strong asset.
- Experience managing external vendors or service providers is preferred.
- Excellent organizational, planning, and multitasking abilities.
- Strong problem-solving skills with the ability to diagnose and triage system or operational issues.
- High level of professionalism with strong written and verbal communication skills.
- Tech‑savvy; proficient with Microsoft 365 (Outlook, Excel, Teams, SharePoint, PowerPoint).
- Ability to work independently and make sound decisions under pressure.
- Strong relationship management and vendor coordination skills.
- Ability to handle confidential information with discretion.
- French language is a strong benefit
