Reporting to our US General Manager, as the Executive Administrative Assistant you will provide high-level administrative support and related responsibilities to the Salon US, General Manager and US Salon Leadership Team.

By fulfilling these responsibilities and possessing the required skills and qualifications, you will contribute to the smooth functioning of the organization and provide valuable support to senior executives and managers.

What you will do:

  • Management of General Manager's schedule and workload to ensure adequately prepared for meetings, create agendas; ensure awareness of all upcoming corporate and industry events; ensure schedule is reviewed daily and maintain a central corporate calendar for the entire Americas Region, Salon
  • Responsible for scheduling and organizing complex activities such as large meetings, travel, and multi-regional activities for the Salon US, General Manager and Senior Leadership Team while working multi-segments of the Americas Region and Global Salon Division team members
  • Help develop visual presentations, draft correspondence and work with a multi-diverse team
  • Organize and prioritize large volumes of information and maintain in a central location for accessibility by leadership team
  • Help arrange travel and logistics, including booking flights, car rental, hotel accommodations, arrangement of meetings and locations, when necessary
  • Manage information/expense invoices and complete expense reports for reimbursement of travel for General Manager and Salon Leadership Team. Also, manage the corporate travel card for Americas Region, Salon and reconcile monthly
  • Communicate and work with other executive/senior management to schedule meetings, handle logistics, send materials for review before meetings, taking and distributing meeting notes and field general inquiries
  • Work independently and within a team on special and nonrecurring and ongoing projects
  • Be a project manager for special projects, at the request of the General Manager, which may include coordinating multiple presentations and disseminating information

What you will need:

  • High school diploma or equivalent
  • 5+ years’ experience in an administrative support role in a professional office environment with at least 2+ years’ experience supporting an executive or senior management level team
  • Proficiency in using MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams). and other relevant software
