The Executive Administrative Assistant will be a critical team member supporting diverse administrative duties for head of Line of Business (typically VP level) with broad business responsibilities on a global basis or major region, necessitating high level contact and exposure to highly confidential information requiring considerable use of tact, diplomacy, discretion and judgement.

Position Responsibilities

  • Schedule and prioritize appointments, meetings, teleconferences, and business meetings with internal/external clients.
  • Prepare and compose correspondence, reports, and meeting minutes.
  • Maintain and organize files, training records, and departmental databases.
  • Coordinate travel arrangements and submit timely expense reports for staff and management.
  • Filter and manage phone calls, mail, and emails, handling or directing them as needed.
  • Receive, photocopy, distribute, and file incoming and outgoing correspondence and reports.
  • Support management with recruitment, new employee orientation, and departmental setup.
  • Produce and maintain process flow and organizational charts for the department.
  • Assist in planning and coordinating major business events, luncheons, and dinners, including off-site meetings.
  • Serve as a liaison between the executive and other business units, ensuring prompt communication.
  • Lead special projects and conduct research, analyzing data and preparing reports with recommendations.
  • Serve as an information source for the executive, handling inquiries, conducting research, and providing referrals.
  • Coordinate IT support and manage the maintenance and upgrading of hardware/software systems.
  • Manage P-Card activities, including ordering supplies and submitting Visa statements.
  • Develop improved administrative procedures and ensure timely processing of deliverables.
  • Coordinate facility needs such as space and equipment.
  • Establish efficient workflows and maintain archives for all assigned projects.
  • Act independently during the executive's absence, prioritizing and handling routine and urgent matters.

Required Qualifications

  • High School Diploma or equivalent required.
  • 8 years of relevant experience, or an equivalent combination of education, training, and experience.
  • Advanced proficiency in computer skills, including MS Office Suite (Word, PowerPoint, Access, Outlook) and internet navigation.
  • Excellent written and verbal communication skills.
  • Ability to work effectively both independently and within a team, prioritizing tasks and managing time efficiently.
  • Capable of meeting demanding timelines and handling multiple tasks simultaneously.
  • Self-directed with the ability to prioritize opportunities and take initiative.
  • Proven ability to establish and maintain effective working relationships with coworkers, managers, and clients.
