SUMMARY:

The Executive Administrative Assistant will provide confidential, strategic and proactive partnership to the EVP, Chief Marketing Officer at the TJX Companies’ Framingham Home Office, to enhance the EVP’s effectiveness and meet the needs of a global, complex TJX Marketing organization.  


The ideal candidate will have the ability to provide advanced support and operate independently to ensure successful administration of TJX Marketing systems, practices and procedures and in keeping with TJX Companies’ global policies.  They will consistently demonstrate tact, diplomacy, positive energy, proactivity and critical thinking as they engage with a variety of Associates and customers both internally and externally.


This position is part of a hybrid work environment and requires days in the office that align with the Executive.  



KEY RESPONSIBILITIES:

  • Build effective working relationship with the EVP, providing proactive day-to-day support with open communication and thoughtful organization of on-going work, understanding preferences, anticipating demands and enabling decision-making  

  • Build effective working relationships throughout the organization with senior management, key business partners (both internally and externally) and peer executive and administrative professionals 

    • Consistently represent the EVP in a professional manner
    • Act as ambassador for the TJX Marketing function
    • Act as lead administrative professional across TJX Marketing 

  • Maintain strategic focus and rigor while managing a very reactive and cross-geographical diary; offer proactive global planning support, anticipating needs and seeking/coordinating information where appropriate

    • Provide full diary support, coordinating meetings with internal and external global contacts, and keep EVP up to date on all appointments
    • Arrange ad hoc off-site meetings and make all necessary arrangements including venue/room booking, catering, technology and hospitality
    • Plan and manage all end-to-end requirements and itineraries for domestic and international travel

  • Operate independently to provide the appropriate information management and administrative support to meet the needs and priorities of the global TJX business

    • Monitor the EVP email “traffic” and alert the EVP to business critical
    • Flag forthcoming deadlines and track EVP deliverables/priorities
    • Triage complex queries and requests for information from the global executive team and internal/external business partners, and escalate to EVP as appropriate 
    • Act as proxy in EVP’s absence to route time sensitive items to Marketing leadership team where appropriate
    • Analyze operating practices and create/revise systems and procedures as necessary/opportunistic 

  • Provide general administrative service to the EVP, including the day-to-day management of the EVP’s office

    • Filter and respond to incoming queries
    • Manage filing, documentation creation and correspondence to ensure efficiency and confidentiality at all times 
    • Prepare materials and agendas for meetings
    • Carry out background research, briefing papers, reports and presentations as needed 

  • Proactively provide financial administrative support for the EVP

    • Manage departmental budget and timekeeping
    • Track expenses directly related to the EVP 
    • Raise purchase orders, pay invoices and manage expenses as required

  • Partner with Corporate Marketing administrative support team to prioritize leadership team’s access to the EVP in a manner that meets priorities, workload requirements and deadlines
  • Collaborate with global Marketing administrative team to build community, providing back-up support, functional guidance and training as needed. Work together to enhance Marketing administrative operations
  • Collaborate effectively and build solid working relationships with TJX C-suite administrative community
  • Support preparation of Corporate Marketing materials for CEO Business Update meetings, Annual Investor meetings and TJX Board meetings 
  • Support planning, preparation and logistical needs for Marketing team training, conferences and town halls as needed
  • Oversee and monitor administrative projects, completing special assignments as needed

Requirements: 

  • Ability to provide advanced administrative support to a large group, utilizing a broad and comprehensive knowledge of company policies, procedures and practices
  • Large corporate environment work experience with C-suite and global exposure highly preferred 
  • Strong Microsoft Office experience required, specifically Outlook, Teams, Word, PowerPoint, Excel, Sharepoint, Copilot. Experience working with Workday a plus. 
  • Ability to operate independently, think critically, problem-solve and manage projects effectively from start to finish
  • Ability to thrive/focus in a very busy and changeable atmosphere while avoiding distractions
  • Proven success balancing many things at one time, ability to shift gears and prioritize effectively
  • Outstanding communication and interpersonal skills with proven organizational and administrative proficiency
  • Extensive experience scheduling complex meetings, managing multiple calendars, arranging international travel and processing expenses
  • Ability to effectively manage confidential and sensitive information 
  • Comfortable being resourceful and leveraging relationships to problem-solve
  • Proactive, energetic, can-do attitude; calm and steady; comfortable working in the gray
  • Ability to collaborate with a large and diverse team of professionals

This position has a starting pay range of USD $34.90 to $48.00 per hour. Actual starting pay is determined by a number of factors, including relevant skills, qualifications, and experience.
