We are seeking an experienced Executive Administrative Assistant to provide strategic and confidential support to multiple executive leaders. This role demands exceptional organizational skills, discretion, and the ability to manage competing priorities while maintaining seamless operations across multiple executive offices.

Key Responsibilities:

  • Provide advanced, diversified and confidential administrative support for executive leaders and staff.

  • Receive, screen and handle telephone calls, incoming mail/email, publications and other correspondence, much of which is confidential or sensitive in nature.

  • Coordinate conferences and meetings and perform complex calendar management including managing and communicating all meeting logistics and agendas to involved parties.
  • Compose and proofread correspondence and produce high-quality materials such as presentations, spreadsheets and reports.
  • Manage expense reports, budget and administrative compliance.
  • Create and maintain computer and paper-based filing and organization systems.
  • Maintain knowledge of organization policies, procedures and resources.
  • Complete or participate in special projects as needed.
  • Interact effectively with individuals at all levels within and outside of the Company in a professional and confidential manner.
  • Anticipate executive needs and proactively resolve operational challenges.

Key Requirements:

  • 4+ years’ experience as an Executive Administrative Assistant or similar role supporting senior leadership.

  • Proven ability to support several executives simultaneously.

  • Diversified administrative experience, including one or more years of progressively responsible experience.

  • Experience working with Microsoft Office products: (indicate Word, Excel or PowerPoint).

  • Experience leveraging organizational skills to support management team and client needs, focusing on execution, accuracy and efficiency.
  • Manage project timelines, deliverables, and tools (e.g., project management software, event coordination platforms) to support executive priorities and organizational initiatives.
  • Must be able to work flexible hours/schedule to meet business needs.

 

Preferred:

  • 10+ years’ experience as an Executive Administrative Assistant or similar role supporting senior leadership.

  • Experience in healthcare or insurance industry. 

  • Experience with executive level strategic planning and business operations.

  • Leverage AI tools and automation platforms to streamline administrative workflows and improve efficiency in scheduling, research and document preparation. 

General Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally. 
 

Physical/Environmental Activities
Must be able to travel to multiple locations for work (i.e. travel to attend meetings, events, conferences). Occasionally

Hourly Pay Range: $30 - $48
Typical Hourly Pay Range: $30 - $37
Final pay will be determined with consideration of market competitiveness, internal equity, and the job-related knowledge, skills, training, and experience you bring.
