As an Executive Administrative Assistant in European Institutional Client Advisors and Multi Asset Solutions, you will coordinate complex calendars, meetings, travel, and expenses while keeping leaders informed and prepared. You will act as a thoughtful gatekeeper, anticipate needs, and maintain momentum across competing priorities. Together, we will deliver exceptional client service, seamless events, and strong operational discipline with professionalism and discretion.
Job responsibilities
- Manage complex calendars for senior leaders and proactively sequence priorities
- Serve as a thoughtful gatekeeper for meetings and time, ensuring the right focus
- Schedule meetings, interviews, and visitor logistics across offices and time zones
- Book travel and prepare detailed itineraries and agendas in line with policy
- Process invoices and expenses accurately and on time, including research related invoices
- Maintain secure area access and complete quarterly certifications
- Execute audit and compliance actions associated with role or regulation changes
- Organize the business management pipeline in spreadsheets and prepare monthly summaries
- Plan and run the quarterly Multi Asset Solutions Summit, including speakers, rooms, and technology
- Liaise with facilities, technology support, and multimedia teams to resolve on-site needs
- Prepare and print client materials and ensure timely delivery for meetings
Required qualifications, capabilities, and skills
- Advanced experience as an executive assistant supporting senior leaders
- Experience in asset and wealth management or a similar financial services environment
- Advanced proficiency with Microsoft Excel, PowerPoint, Outlook, and Word
- Exceptional written and verbal communication skills with a professional, friendly approach
- Demonstrated ability to manage multiple priorities with excellent attention to detail
- Proven judgment and discretion handling confidential information
- Strong problem solving and decision making skills
- Ability to work independently and as part of a team
- Comfort working in a fast paced environment with evolving priorities
- Willingness to flex working hours when needed to support business needs
- Experience coordinating events, travel, and visitor logistics across locations
