Position Summary

MIRACORP, Inc. is seeking an experienced Senior Executive Assistant to provide high level administrative support to DNS senior leadership and designated National Nuclear Security Administration personnel. This position manages sensitive correspondence, executive calendars, meetings, domestic and international travel, events, and executive level documents in a fast paced federal environment.


Essential Duties & Responsibilities

  • Manage the complete workflow for classified and unclassified correspondence, including initiating requests, coordinating reviews, tracking actions, and distributing final materials.
  • Prepare, edit, proofread, format, and finalize correspondence, signature packages, briefings, reports, daily schedules, meeting minutes, and analytical materials.
  • Review documents requiring leadership signature, concurrence, or coordination for accuracy, completeness, proper formatting, and procedural compliance.
  • Process correspondence through eDOCS or successor systems, provide user guidance, and recommend workflow improvements.
  • Manage complex calendars for senior leadership, including meetings, appointments, deadlines, and travel commitments.
  • Prioritize scheduling requests, resolve conflicts, and escalate scheduling matters when necessary.
  • Coordinate meeting logistics, participants, agendas, supporting materials, virtual links, conference bridges, and audiovisual requirements.
  • Track attendance, decisions, and action items and conduct follow up at the direction of federal staff.
  • Arrange domestic and international travel using Concur, AdTrav, Foreign Travel Management Systems, or other approved systems.
  • Prepare detailed travel itineraries and travel books and coordinate international requirements such as Country Clearance Requests and Prenotification Trips.
  • Provide troubleshooting assistance to federal personnel using approved travel systems.
  • Coordinate classified and unclassified meetings, conferences, all hands meetings, and executive engagements.
  • Set up and operate audiovisual equipment, run presentation slides, take notes, and prepare meeting minutes.
  • Coordinate with information technology personnel to resolve teleconference, videoconference, and audiovisual issues.
  • Coordinate with DOE or NNSA graphics personnel to produce camera ready publications, brochures, signage, presentations, and related products.
  • Provide advanced support using Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Teams, eDOCS, and other approved applications.
  • Handle classified, sensitive, and confidential information in accordance with applicable security requirements.
Qualifications

Minimum Education & Experience Requirements

  • US Citizen
  • Ability to obtain and maintain any required federal suitability determination or security clearance.
  • High school diploma or equivalent.
  • Progressively responsible experience providing executive level administrative support in a government, government contracting, corporate, or similarly complex environment.
  • Experience managing executive calendars, formal correspondence, signature packages, meetings, and domestic or international travel.
  • Advanced proficiency with Microsoft Office applications and electronic collaboration tools.
  • Strong writing, editing, proofreading, communication, organization, and customer service skills.
  • Ability to manage competing priorities and time sensitive assignments with limited supervision.
  • Ability to satisfy federal suitability, badging, facility access, information handling, and security requirements.
  • Ability to obtain and maintain the security clearance or access required for the position.

Preferred Qualifications

  • Associate or bachelor’s degree in business administration, management, communications, English, or a related field.
  • Experience supporting NNSA, the Department of Energy, another federal agency, or a federal government contractor.
  • Experience processing classified and unclassified correspondence.
  • Experience using eDOCS, Concur, AdTrav, or federal international travel systems.
  • Experience supporting classified meetings, executive conferences, and senior leadership events.
