As the Executive Administrative Assistant to the CEO of Restaurant365, you will play a pivotal role in

supporting the CEO, reporting into his chief of staff as a part of the executive team. You will be

responsible for providing high-level administrative support, managing schedules, coordinating

meetings, and handling various tasks to ensure the CEO's efficiency and effectiveness. The role will

require intuitive action and a strong ability to determine the priorities of the CEO and develop strong

systems to improve the CEO’s functions. This role requires exceptional organizational skills, attention

to detail, discretion, and the ability to work in a fast-paced startup environment.

In this role, you will partner closely with the CEO’s chief of staff to support the CEO’s end-to-end

strategic, operational, and administrative needs.

How you'll add value:

  • Calendar Management: Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Communication Management: Support the chief of staff as a point of contact between the CEO and internal/external stakeholders, screening and prioritizing emails, phone calls, and correspondence.
  • Meeting Coordination: At the chief of staff’s direction, prepare materials for meetings, including agendas, presentations, and reports. Attend meetings as needed, take minutes, and follow up on action items.
  • Travel Arrangements: Coordinate travel arrangements for the CEO, including booking flights, accommodations, and transportation, and preparing travel itineraries.
  • Document Management: Organize and maintain digital and physical files, documents, and records, ensuring easy accessibility and confidentiality as needed.
  • Event Planning: Partner with the chief of staff, HR, and Marketing teams in planning and coordinating company events, conferences, and off-site meetings, including logistics, venue selection, and catering.
  • Expense Management: Process expense reports, reconcile credit card statements, and maintain expense records for the CEO.
  • Research and Analysis: Conduct research and gather information on various topics as requested by chief of staff including market trends, investor landscape, and industry developments.
  • Special Projects: Assist the chief of staff, CEO, and executive team in special projects, initiatives, and ad-hoc tasks as needed.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism

What you'll need to be successful in this role:

  • Bachelor's degree or equivalent experience preferred.
  • Proven experience as an executive administrative assistant or similar role, preferably in a startup or tech environment.
  • Highly dependable, and operates with strong professional integrity and judgement.
  • This role is expected to be onsite at our Irvine, California headquarters up to 80% of the time initially and less over time, with the opportunity for remote work when the CEO is traveling or otherwise offsite.
  • Positive attitude, proactive mindset, and willingness to learn and grow in a dynamic startup environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication and presentation skills, both written and verbal, with the ability to interact effectively with individuals at all levels.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet
  • deadlines.
  • Attention to detail and high level of accuracy in all work.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to handle changing priorities and multiple tasks simultaneously.
  • Discretion and confidentiality in handling sensitive information.

R365 Team Member Benefits & Compensation

  • This position has a salary range of $35/hr - $60/hr and will be onsite in our Irvine, CA office. The above range represents the expected salary range for this position. The actual salary may vary based upon several factors, including, but not limited to, relevant skills/experience, time in the role, business line, and geographic location.
