We’re looking for an Events & Social Media Coordinator to bring our travel events to life and help promote them through engaging content. This is a hands-on opportunity for someone who enjoys organizing details, working with people, and seeing an event come together.
This is an onsite position based in Tucson, Arizona, with local travel required for events.
About the Role
Events are the primary focus, including our large annual travel show, smaller supplier presentations, and online webinars. You will coordinate free, consumer-facing events that bring travel suppliers and travelers together, handling planning, logistics, onsite support, and follow-up.
Alongside events, you will support social media and marketing communications. The balance shifts with the seasonal event calendar, offering a mix of practical coordination and creative work across LinkedIn, Facebook, Instagram, YouTube, email, and other channels.
What You’ll Own
- Event Coordination: Maintain event calendars, timelines, checklists, and communications to keep preparations on track.
- Supplier and Venue Relationships: Coordinate with travel suppliers, venues, and vendors to confirm schedules, materials, and event requirements.
- Onsite Execution: Handle setup, registration, signage, materials, attendee assistance, and breakdown.
- Webinars and Presentations: Organize supplier webinars and smaller presentations, including scheduling, promotion, and participant communications.
- Event Promotion: Help prepare invitations, reminders, and promotional content that encourage attendance at our free events.
- Social Media Content: Create, schedule, and publish event, destination, and brand content across our social channels.
- Marketing Support: Coordinate creative assets and approvals, and help prepare email, website, and print materials.
- Results and Follow-Up: Track attendance, expenses, and engagement, and keep post-event communications and next steps moving.
- Quality and Organization: Proofread materials, verify details, and manage competing deadlines without losing accuracy.
What You’ll Bring
- Event coordination experience gained through work, internships, campus organizations, hospitality, or community activities.
- Strong organization and follow-through, with the ability to manage several moving pieces.
- Clear, professional communication with suppliers, vendors, customers, and colleagues.
- A dependable, hands-on approach to both planning and onsite event work.
- Some familiarity with marketing and social media content creation or publishing. Event coordination is the priority, with broader marketing experience a plus.
- Attention to detail and confidence proofreading customer-facing materials.
- Comfort learning new event, webinar, and marketing tools.
- Bachelor’s degree in Marketing, Communications, Public Relations, Business, Hospitality, or a related field preferred. An equivalent combination of education and experience will be considered.
- Reliable transportation for events in Tucson, Green Valley, Oro Valley, and occasionally the Phoenix area.
- Availability to occasionally work outside standard business hours for events.
- Ability to lift, carry, or move event materials weighing up to 30 pounds, with or without reasonable accommodation.
