The Opportunity:
As Executive Assistant to the Executive Leadership Team, reporting to the CEO, you will
play a key role in supporting the executives who drive the strategic vision and daily
operations of Transact + CBORD. You’ll serve as a trusted partner—ensuring schedules
run smoothly, priorities stay on track, and confidential matters are handled with care. Your
role will be instrumental in enabling leadership to focus on innovation, growth, and service
excellence.
The Ideal Person:
You’ll be a key partner to the Executive Leadership team, optimizing her time by helping her
focus on the most important priorities. You should possess the ability to multitask, think
strategically, create efficiencies, stay flexible, anticipate needs, and stay in lock-step with
a constantly changing schedule and business. This is a dynamic role where you will
coordinate key routines, tasks and information flow on behalf of the CEO having to discern
between urgent and important on a regular basis.
You tackle everything from arranging travel, meetings, and presentations to tracking
reports, data, tasks, expense reports, update communications pieces via email,
PowerPoint and online. You will represent the Executive Leadership team through phone,
email and chat and will provide communications with a multi-faceted team of
stakeholders including the company’s leadership team and board members.
The Responsibilities:
• Handles strategic meeting calendar ensuring timing and logistical details are in place
to maximize the Executive Leadership team efforts while acting as a liaison on behalf of
them. Ensure the Executive Leadership team is prepared for Board Meetings,
Executive Offsites, All-Hands Meetings and Keynotes
• Create agendas for meetings, join meetings with CEO and direct reports where
appropriate, taking notes and drafting meeting recaps including decisions, action items
and due dates
• Manage multiple projects simultaneously, capturing all items in Excel and/or similar
productivity tools, updating Executive Leadership team on progress regularly and
proactively.
• Organize and prioritize critical issues and required information for the Executive
Leadership team where appropriate to facilitate efficient decision making and
implementation.
• Prepares travel agendas including expense reports and timely and efficiently.
• Prepare PPT’s and talking points for external meetings and presentations with
Marketing oversight where required.
• Research, prioritizes, and follows up on incoming issues and concerns addressed to
the Executive Leadership team, including those of a sensitive or confidential nature.
Determines appropriate course of action, referral, or response.
• Takes notes at each senior leadership meetings and provides recap of decisions and
action items.
• Availability to complete all the above both in and outside of normal business hours, as
it functions with Executive Leadership team
The Requirements:
• Bachelor’s degree or equivalent work experience
• 3-5 years’ experience supporting of senior level team members
• Expert level written and verbal communication including writing, editing,
spelling/grammar, messaging skills
• Proven ability to work with a great deal of discretion, protecting sensitive personal and
company information
• Highly proficient in Excel, Microsoft word and PowerPoint,
• Knowledge of SharePoint or other intranet tools a plus
• Extremely detail-oriented, organized and able to thrive in a fast-paced, deadline-driven
environment - you must love creating order out of chaos
• Flexible in terms of responsibilities and responsiveness with a positive can-do spirit
• Natural ability to multitask and prioritize time-sensitive assignments in a dynamic
environment
• Quick learner - have a knack to figure out new systems and adapt on the go
• Independent - the ability to work under little direction and exercise sound judgment
when making time-sensitive decisions
• Problem solver - you will be able to actively find a creative solution efficiently and
proactively
• Highly resourceful team-player, with the ability to also be extremely effective
independently
• Composed professional - people love working with you because you are
compassionate and stay cool under pressure matched with your drive to get stuff done.
• Education industry experience a plus but not required
