BAM is seeking an Event Manager! The ideal candidate will manage the planning, coordination, and execution of events within the Programming Operations division. As well as ensuring successful and efficient execution of events and cinema presentations, through strong coordination, clear communication, and detailed operational planning. In addition, support cross-departmental collaboration, maintain accurate event documentation, and provide high-quality client and partner engagement from advance through event completion.

 

 

 

Essential Duties and Responsibilities

 

  • Serve as the primary point of contact for rental clients, internal partners, and external collaborators throughout the event lifecycle
  • Advance rental, cinema and other events, including schedules, run-of-show, budgets and payments, scheduling technical support, and venue logistics
  • Coordinate cross departmentally with Production, Facilities, Security, Front of House, Cinema Operations, General Management, and other internal departments to ensure alignment on event needs
  • Oversee on-site event execution, and serve as on-site contact for external partners
  • Create and maintain detailed event documentation, including timelines, contact sheets, production notes, and other paperwork.
  • Communicate event requirements clearly to all stakeholders and ensure timely follow-up on outstanding items
  • Track event needs and communicate staffing, equipment, and operational requirements to appropriate teams.
  • Draft and administer contracts for assigned events as requested. 
  • Work closely with Finance, GM and Programming to maintain effective and efficient systems of submission and communications for payments, tax paperwork, budgets, cash flow, and reporting
  • Ensure compliance with venue policies, safety protocols, and operational standards
  • Assist in managing multiple events simultaneously, prioritizing based on timelines and organizational needs
  • Contribute to the planning and execution of additional programming and institutional events, including performances and festivals
  • Support cross-departmental communication to ensure smooth coordination across Programming Operations
Qualifications
  • Minimum 3 years’ experience in Performing Arts Administration, Event or Venue Management, Theater Production, or related field, or equivalent professional experience
  • Excellent knowledge of Microsoft Office; experience with production management tools (e.g. Asana, Slack) and Tessitura strongly preferred
  • Strong event management and production coordination experience, particularly with rentals, film/cinema, and/or live events
  • Ability to interpret and manage event schedules, technical requirements, and operational logistics
  • Excellent communication skills with a professional and client-facing approach
  • Ability to track and accomplish multiple projects simultaneously and in a timely manner
  • Strong interest in working at a performing arts organization
  • Extremely organized
  • Self-motivated
  • Excellent attention to detail
  • Strong problem-solving skills in live event environments
  • Ability to work under a deadline
  • Ability to multi-task
  • Calm and solution-oriented under pressure

 



Compensation: The salary for this position is $68K. This role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, exempt, and eligible for benefits. BAM provides a comprehensive benefits package including medical, dental, and vision insurance, retirement plan opportunities including both 401(k) and pension plans, as well as BAM-related benefits including access to BAM's fantastic programming.  

 

Working conditions: Category 2: Administrative Work with Mobility

  • The employee is required to sit most of the time yet must move about on foot to accomplish some tasks, including frequently moving from one location to another. Walking, standing, climbing stairs, lift, and carry objects up to 25lbs. Environment: The employee is subject to both environmental conditions: Activities occur inside and outside. 
  • Location: The position will primarily be onsite, with occasional flexibility to work remotely as the workload allows.
  • Frequent weekend and evening work
