What You'll Do
  • Third party event logistics (80%): Own end-to-end logistics for 10-12 conferences and trade shows annually. This includes vetting and securing sponsorships, registering and prepping staff, ordering booth properties/swag/print, and managing show services like electrical and material handling.

  • Hosted dinners and team offsites (20%): Identify and secure quality venues for client reservations and executive dinners designed to drive brand visibility and lead generation. Once or twice a year, organize offsites for a team of ~20 requiring transportation, catering and restaurant reservations, swag, and activities.

  • Vendor management: Identify, vet, and manage relationships with event partners, swag providers, printers, transportation companies, and caterers to deliver on event needs.

  • Budget, reporting, and AI-native operations: Provide comprehensive and accurate budget reporting to department heads. Leverage AI tools and agents to create event-related content like email copy and improve operational efficiency.

Who You Are
  • Experienced events professional: You have 5+ years of experience in third-party event operations and logistics, and you’ve personally managed 10 and 20’ booths footprints at major tier-1 industry expos, tech conferences, and enterprise trade shows. You’ve been doing this long enough that you have an opinion on good vs. bad swag, know which major show service providers are a pain to work with, and understand the implications of exhibiting at a unionized convention center.

  • Proactive & adept communicator: You communicate clearly and early with leadership, department heads, design teams, and vendors to keep projects on track. You can navigate conversations with everyone from the guy working the counter at FedEx Office to senior insurance executives. You have strong contract review and negotiation skills.

  • Skilled project manager with an eye for detail: You can drive projects independently in a remote environment and manage multiple event deliverables across internal and external stakeholders. You anticipate potential points of failure and can articulate alternative paths forward along with their trade offs. You thrive on managing the small details and are willing to be the problem solver when things don’t go as planned.

  • Adaptable & reliable: You are comfortable with a flexible workload depending on the event calendar (40–50 hours per month during busy season, 10-20 hours per month during off season). You can be trusted to be thorough and thoughtful in your work + own the outcomes of your decisions.

Skills Required

  • 5+ years of experience in third-party event operations and logistics
  • Experience managing 10' and 20' booth footprints at tier-1 expos and enterprise trade shows
  • Proven ability to own logistics for 10-12 conferences/trade shows annually
  • Vendor identification, vetting, and management (swag providers, printers, transportation, caterers, show services)
  • Strong communication, contract review, and negotiation skills
  • Budgeting and accurate event financial reporting experience
  • Experience organizing executive dinners and team offsites including transportation, catering, and activities
  • Ability to drive projects independently in a remote environment and manage multiple stakeholders
  • Experience leveraging AI tools or agents to create event-related content and improve operations
